Job Description:

The Office Administrator plays a critical role in supporting the Preconstruction department by performing various administrative and coordination tasks. This position is essential in managing the business development, estimating, and bidding processes.

Key Responsibilities:
  • Complete and submit bid documents for government and public projects, ensuring all documentation meets submission guidelines and deadlines.
  • Cultivate and maintain relationships with subcontractors, suppliers, and vendors, issuing requests for proposals (RFPs) and managing responses.
  • Provide executive and administrative assistance to the Preconstruction Director and the estimating team, including scheduling meetings, preparing reports, and maintaining project documentation.
  • Assist in preparing cost estimates by gathering and analyzing data, ensuring all relevant information is available to the estimators.
  • Manage and organize all preconstruction documents, ensuring they are up-to-date and accessible to the team.
  • Serve as a liaison between the Preconstruction department and other departments within the company, ensuring clear and efficient communication.
  • Utilize Microsoft Excel, Word, Outlook, and Teams to manage tasks and communicate effectively.
Requirements:
  • Exceptional attention to detail and organizational skills.
  • Ability to work independently and take initiative.
  • Strong dedication to hard work and diligence.
  • Advanced skills in Microsoft Excel, Word, Outlook, and Teams.
  • Previous experience in a similar role, such as an administrative assistant, executive assistant, estimating administrator, or estimating coordinator, is preferred.
  • Excellent written and verbal communication skills, comfortable and confident speaking on the phone.
  • Strong analytical and problem-solving abilities.
Education and Experience:
  • Bachelor's degree in construction management, business administration, or a related field is preferred.
  • Minimum of 2-5 years in a relevant administrative or coordination role, within the construction industry preferred.
Working Conditions:
  • Primarily office-based with occasional site visits as needed.
  • Full-time position with standard office hours and potential for additional hours based on project deadlines.
