Candidate Profile

The ideal candidate for the Operations Support Specialist role should possess the following qualifications:

Position Responsibilities

The Operations Support Specialist will report directly to the Regional Market President and will play a vital role in supporting the regional team. The candidate should embody CINQCARE's core values: Trust, Empathy, Commitment, Humility, Creativity, and Community Orientation.

The responsibilities of the Operations Support Specialist include:

  • Addressing administrative requirements as the designated delegate for the assigned executive, including managing expense reports, requisitions, and shipping tasks.
  • Coordinating intricate travel arrangements, encompassing airfare, accommodations, transportation, and meal planning.
  • Overseeing the calendars of assigned executives to ensure strategic scheduling and optimal time management.
  • Arranging appointments, conference calls, and meetings, ensuring all necessary materials are prepared in advance.
  • Engaging diplomatically with various stakeholders across diverse scenarios.
  • Assisting in the preparation of correspondence, presentations, reports, and other essential documents.
  • Managing phone communications, retrieving information from records, and addressing inquiries.
  • Facilitating the assigned executive's use of technology and collaboration tools.
  • Handling additional special projects as assigned.
  • Preparing documents, presentations, and reports for both internal and external purposes.
  • Coordinating logistics for events, both virtual and in-person.
  • Creating content for various marketing and communication initiatives.
  • Conducting basic data analysis to aid in decision-making processes.
  • Managing office supplies, including ordering and organization.
  • Assisting with general office management tasks as required.
  • Performing other job-related duties as assigned.

Collaboration and Culture

The Operations Support Specialist will work closely with regional stakeholders to understand their needs, assimilate their insights, and develop solutions that align with CINQCARE's business objectives. Additionally, this role is responsible for fostering a productive, collaborative, safe, and inclusive work environment for the team and the broader organization.

Work Environment

This position requires on-site work in a traditional office environment, characterized by conditioned air, artificial lighting, and an open workspace. Effective communication with customers, vendors, management, and colleagues—sometimes in challenging situations—is essential. Regular use of telecommunication and email for communication is necessary. The role may involve extended periods of sitting and occasional lifting of up to 30 lbs. Proficiency in using common office equipment, such as computers, calculators, copiers, and fax machines, is required. Strong reasoning abilities are important for interpreting management reports, memos, and other business documents.
