Senior Administrative Assistant

A prestigious university in Cambridge, MA is seeking a highly skilled Senior Administrative Assistant to provide complex administrative support to a high-level faculty member. This individual will be responsible for organizing and implementing administrative systems, managing office operations, and ensuring the timely and responsive delivery of office support services.

Key Responsibilities:

  • Organize and implement administrative systems, including scheduling, meetings, and correspondence
  • Manage office operations, including electronic databases, website updates, and mail management
  • Monitor and process invoices, expenses, and requests for payment and reimbursement
  • Handle complex calendar and meeting management, including scheduling and coordinating meetings
  • Attend high-level meetings, track, edit, and draft correspondence and reports
  • Plan and execute events, including ordering catering services for meetings and luncheons
  • Initiate, organize, and implement administrative systems and processes for efficient office management
  • Work closely with other office and department staff to ensure timely and responsive delivery of office support services
  • Communicate and interact regularly with staff on a variety of matters
  • Review and analyze a wide range of information and compile data for review
  • Manage office equipment, software, hardware, and supplies

Qualifications & Skills:

  • Bachelor's degree required and at least 5 years of professional administrative experience
  • Ability to respond to regular shifts in workload and changing needs of the organization
  • Proficient in advanced technical applications, including Microsoft Office and FileMaker Pro
  • Detail-oriented and able to handle diversified and confidential tasks concurrently in a fast-paced setting
  • Strong work ethic, personal integrity, and self-motivation
  • Professional verbal and written communication skills
  • Passion for higher education and commitment to serving a diverse student population
