Job Summary

We are seeking an Administrative Assistant to provide support to our Tempe and Chandler, AZ facilities. The successful candidate will be the greeting face of the company, providing a high level of service to internal and external customers. This role will also be responsible for understanding and enforcing Iridium's security procedures with regard to visitors and packages.

Key Responsibilities
  • Provide administrative support to Iridium department(s)
  • Open lobby at 8:00 am and close at 4:30 pm daily
  • Answer and direct phone calls, taking and delivering messages in a timely fashion
  • Act as liaison between visitors, callers, vendors, package deliveries and Iridium staff, screening all visitors for building access approval before checking in and assigning appropriate badges and receiving and distributing mail daily
  • Manage office supply orders and inventory, including coffee services, machine maintenance and all related billing
  • Manage catering requests, maintaining contacts and relationships with vendors
  • Prepare FedEx shipping labels and arrange for pick-ups as requested
  • Help arrange conference rooms, catering, etc., for meetings and events
  • Schedule and set up conference calls / Teams meetings
  • Ensure kitchens and conference rooms are stocked and appear orderly and clean
  • Coordinate building maintenance with Facilities Manager
  • Assist with in office special events
  • Additional administrative projects by request
Requirements
  • High School diploma or equivalent
  • 1-2 years of relevant administrative experience
  • Capable of exercising good judgement and discretion when handling confidential information
  • Must be a good listener who can take general instruction on a new task and run with it
  • Possess a keen eye for detail and accuracy
  • Be time-oriented, organized, reliable, and diligent
  • Exhibit politeness toward others and use feedback as motivation to always keep improving
  • Proficiency in MS Office (Word, Excel, Power Point, and Outlook) a MUST
  • Internet and electronic equipment savvy and able to troubleshoot and/or utilize resources to meet deadlines
  • Professional appearance and phone etiquette
  • Superior problem-solving skills and sound professional judgement
  • Desire for professional growth
Preferred Qualifications
  • Working knowledge of SharePoint, Concur, and CORE Integrator
Work Environment

This position primarily works in the company office or in a home office. The position is largely sedentary with the majority of the position sitting in a chair and working with a computer.

The role uses basic office equipment including a phone, video, computer, keyboard, mouse, and printer.
