Key Responsibilities:
The Executive Assistant will:
- Prepare and submit financial documentation, ensuring precision and adherence to organizational policies.
- Deliver extensive administrative assistance to senior management, including calendar management, meeting scheduling, and correspondence handling.
- Draft, edit, and format various documents, reports, and presentations utilizing Microsoft Office 365 tools.
- Act as a primary point of contact between executives and both internal and external stakeholders, managing inquiries to ensure effective communication.
- Organize and facilitate virtual meetings and webinars using platforms such as Microsoft Teams or Zoom, including meeting setup, invitations, and technical support.
- Compose and disseminate organizational communications, memos, and announcements as necessary.
- Manage confidential and sensitive information with the utmost discretion, maintaining a high level of confidentiality.
- Prepare and organize materials for meetings, conferences, and events.
- Attend significant meetings, document proceedings, distribute minutes, and follow up on action items.
- Coordinate travel logistics, including flight reservations, hotel bookings, and ground transportation, while preparing detailed itineraries.
- Proactively address any travel-related challenges or changes.
- Anticipate the needs of executives and proactively resolve potential issues or concerns.
- Identify and implement process improvements to enhance operational efficiency and productivity.
- Perform additional duties as assigned.
Qualifications:
- Bachelor's degree or equivalent professional experience.
- Demonstrated experience as an executive assistant or in a comparable administrative position.
- Ability to manage confidential information with discretion.
- Proficient in Microsoft Office 365 Suite, calendar management tools, and virtual meeting platforms.
- Exceptional organizational, multitasking, and time-management capabilities.
- Strong written and verbal communication skills.
- Meticulous attention to detail, ensuring accuracy and thoroughness in all tasks.
- Ability to foster positive relationships with colleagues, executives, and external partners.
- Adaptability to shifting priorities and work environments.
- Strong interpersonal skills, with the ability to collaborate effectively within a team.
