Key Responsibilities:

The Executive Assistant will:

  • Prepare and submit financial documentation, ensuring precision and adherence to organizational policies.
  • Deliver extensive administrative assistance to senior management, including calendar management, meeting scheduling, and correspondence handling.
  • Draft, edit, and format various documents, reports, and presentations utilizing Microsoft Office 365 tools.
  • Act as a primary point of contact between executives and both internal and external stakeholders, managing inquiries to ensure effective communication.
  • Organize and facilitate virtual meetings and webinars using platforms such as Microsoft Teams or Zoom, including meeting setup, invitations, and technical support.
  • Compose and disseminate organizational communications, memos, and announcements as necessary.
  • Manage confidential and sensitive information with the utmost discretion, maintaining a high level of confidentiality.
  • Prepare and organize materials for meetings, conferences, and events.
  • Attend significant meetings, document proceedings, distribute minutes, and follow up on action items.
  • Coordinate travel logistics, including flight reservations, hotel bookings, and ground transportation, while preparing detailed itineraries.
  • Proactively address any travel-related challenges or changes.
  • Anticipate the needs of executives and proactively resolve potential issues or concerns.
  • Identify and implement process improvements to enhance operational efficiency and productivity.
  • Perform additional duties as assigned.

Qualifications:

  • Bachelor's degree or equivalent professional experience.
  • Demonstrated experience as an executive assistant or in a comparable administrative position.
  • Ability to manage confidential information with discretion.
  • Proficient in Microsoft Office 365 Suite, calendar management tools, and virtual meeting platforms.
  • Exceptional organizational, multitasking, and time-management capabilities.
  • Strong written and verbal communication skills.
  • Meticulous attention to detail, ensuring accuracy and thoroughness in all tasks.
