Job Summary:

We are seeking an experienced Administrative Assistant to support our executive staff in all administrative functions and processes. The ideal candidate will have a strong background in administrative work, excellent communication skills, and the ability to maintain confidentiality.

Key Responsibilities:

  • Greet customers and vendors professionally, providing exceptional customer service via phone and email.
  • Process daily mail, including distribution to remote offices, and maintain electronic and physical files in an organized manner.
  • Coordinate building maintenance, including maintenance arrangements, cleaning contracts, and lessee relationships.
  • Ensure timely vehicle registrations and coordinate vehicle insurance.
  • Book travel arrangements for management and engineers.
  • Attend meetings, take notes, distribute for review and confirmation, and maintain records.
  • Foster positive and productive client relationships.

Requirements:

  • High school diploma required.
  • 3 years of experience in an administrative assistant role.
  • Proficiency in MS Office Suite and standard office equipment.
  • Meticulous organizational skills with the ability to manage time efficiently.
  • Strong attention to detail.
  • Ability to maintain confidentiality and discretion regarding company information.
  • Ability to work onsite in Portland, ME, Monday through Friday, with some travel required.
