Job DescriptionAt Pipkins Investigation Company, we are seeking a highly organized and detail-oriented Intake Specialist to join our team. As the first point of contact for clients, you will play a crucial role in gathering key information, ensuring assignments are free of conflicts, assessing case viability, and ensuring a smooth intake process for all new investigations. This role requires excellent communication skills, a keen attention to detail, and the ability to thrive in a fast-paced environment with up to forty new cases per week. If you are a proactive problem-solver with a passion for legal and investigative work, this is the perfect opportunity to contribute to meaningful investigations and help deliver results for our clients. While our firm largely handles personal injury investigations, we also handle intellectual property/trademark suits, business litigation, mass tort, and labor litigations so a basic understanding of legal topics is beneficial. 

 

Key Responsibilities: 

  • Be the initial point of contact for clients and ensure a smooth intake process for all new investigations. 

  • Intake new assignments, perform conflict checks, and provide budgets to clients. 

  • Monitor for approval of new assignments and follow up with potential clients. 

  • Assist staff and management with meeting deadlines and ensure invoicing and billing timelines are met. 

  • Coordinate between our office and other vendors, experts, or those that sub-contract with us. 

  • Organize and maintain all case files (mostly electronic) and ensure confidentiality and ethical conduct. 

  • Draft subpoenas for trial and depositions with a client-provided notice and provide assignments to investigators based upon ability and skills. 

  • Perform notarizations (if not already, expected to become notary within 60 days of hire) and serve as the assistant to the operations and business manager. 

  • Perform office-based investigations, as needed, and other duties as assigned. 

 

Requirements: 

  • Experience in the legal field: investigations, legal assistant, paralegal, or similar roles. 

  • Proficiency in Microsoft Office Suite: including Word, Excel, and Outlook. 

  • Bachelor's degree preferred. 

  • Reliable, dependable, and exhibits a strong work ethic. 

  • Strong attention to detail and the ability to work efficiently under pressure. 

  • Self-motivated with the ability to take initiative and work independently. 

  • Ensure clients are updated and communicated with as their investigations progress. 

  • Collaborate with other investigators and staff to ensure the best possible outcome on assignments. 

  • Maintain confidentiality and ethical conduct. 

  • Bilingual candidates are preferred. 

  • Previous case management or supervisory experience preferred. 

 

Eligibility Requirements: 

  • Be at least 18 years of age. 

  • Not have been convicted, in any jurisdiction, of a felony-level offense. 

  • Not have been convicted, in any jurisdiction, of a Class A or equivalent misdemeanor. 

  • Not have been convicted, within the past 5 years, in any jurisdiction, of a Class B misdemeanor or equivalent offense. 

  • Not currently charged with, or under indictment for, a felony, or a Class A misdemeanor. 

  • Not currently charged with, a Class B misdemeanor. 

  • Not have been found by a court to be incompetent by reason of a mental defect or disease and not have been restored to competency. 

  • Not have been dishonorably discharged from the United States Armed Services, discharged from the United States Armed Services under other conditions determined by the Board to be prohibitive, or dismissed by the United States Armed Services if a commissioned office in the United States Armed Services. 

  • Not be required to register in this or any other state as a sex offender. 

 

Compensation: 

  • Full Time 

  • $55k-$65k Salary 

  • Yearly bonus and additional pay based upon hours billed 

  • 1 week of vacation after 1 year, 2 weeks after 3 years 

  • No health, dental, life, or vision insurance provided
