Responsibilities
As the primary point of contact for patients, visitors, and families entering USA Health clinics, you will exemplify exceptional service excellence in your interactions and support of the Care Access Department. Your role will encompass a variety of functions to facilitate the daily operations of the clinic, including:

  • Managing registration, check-in, and discharge processes
  • Scheduling appointments and coordinating ancillary services
  • Providing initial patient-facing triage
  • Coordinating follow-up appointments
  • Verifying and updating patient registration information
  • Scanning health record documents
  • Collecting payments at the time of service
  • Delivering outstanding customer service
  • Ensuring a seamless patient flow
  • Reviewing the clinic schedule daily and adhering to proper protocols
  • Gathering patient demographic and insurance information
  • Addressing general patient inquiries and concerns
  • Investigating complaints and collaborating with management to resolve issues
  • Processing co-payments and prior balances as necessary
  • Supporting additional Care Access responsibilities related to pre-service functions
  • Managing follow-up appointment scheduling in accordance with patient needs
  • Providing discharge paperwork and follow-up instructions to patients
  • Maintaining accurate records of canceled and rescheduled appointments
  • Responding to general telephone inquiries professionally and efficiently
  • Communicating essential information about USA Health programs to various stakeholders
  • Assisting in the orientation and training of new Care Access Associates
  • Ensuring the physical environment is safe and aesthetically pleasing
  • Managing office supplies and forms inventory
  • Sorting and distributing faxes and mail daily
  • Ensuring the functionality of office equipment and reporting issues
  • Utilizing online resources as required by clinic practices
  • Maintaining regular attendance and fulfilling work schedule requirements

Qualifications
A high school diploma or equivalent, along with one year of clerical experience in an access center, customer service, or healthcare environment, is required. Familiarity with Electronic Medical Records is preferred.
Completion of a higher level of education, as approved by the University of South Alabama, may substitute for the required experience.
