Job Summary

We are seeking a highly skilled and experienced Senior Meetings and Events Manager to join our team at Parker Palm Springs, LLC. This is a key role that requires strong organizational and communication skills, as well as the ability to work effectively with internal and external stakeholders.

Key Responsibilities
  • Coordinate all group bookings from confirmation to departure, ensuring seamless execution and excellent client satisfaction.
  • Act as liaison between clients, Sales Managers, and operational departments, providing exceptional customer service and support.
  • Manage all group-related activities, including pre-arrival information, check-in arrangements, billing procedures, and post-departure follow-up.
  • Process necessary paperwork on changes, cancellations, and additions prior to arrival, ensuring accuracy and attention to detail.
  • Upsell client hospitality suite requirements, VIPs, amenities, suites, banquet food and beverage, and special requests, driving revenue growth and client satisfaction.
  • Collaborate with the Sales Manager to re-book future group programs, ensuring continuity and growth.
  • Assist with the general sales phone line, providing support and answering client inquiries.
  • Update the 14-day arrival report with relevant groups for weekly distribution at resume meetings, ensuring timely and accurate information.
  • Coordinate Meeting in Suites with the Room Service Manager, ensuring seamless execution and excellent client satisfaction.
  • Conduct and assist with inter-departmental investigations on billing, client complaints, and follow-up as required, ensuring prompt resolution and client satisfaction.
  • Prepare group resumes and BEOs in adherence with the distribution schedule, ensuring accuracy and attention to detail.
  • Responsible for the receipt and processing of all rooming lists, banquet event orders, deposits, pro-formas, and pre-payments, ensuring accuracy and attention to detail.
  • Work closely with Front Office Supervisory staff and Bell staff to ensure smooth group arrival and delivery of services, ensuring excellent client satisfaction.
  • Work closely with Group Sales Assistant and delegates when necessary, ensuring effective communication and collaboration.
  • Coordinate client group activities and needs with relevant departments, ensuring seamless execution and excellent client satisfaction.
  • Attend Coordinator, Resume, BEO, and Sales meetings as scheduled, ensuring timely and accurate information.
  • Participate in quarterly GRC and banquet function space audits in preparation for monthly forecast meetings, ensuring accurate and timely information.
  • Maintain clean, accurate master files, ensuring easy access and retrieval of information.
  • Open Master Files for new accounts, ensuring timely and accurate information.
