Benefits Administrator Job Summary
We are seeking a skilled Benefits Administrator to manage and enhance our employee benefits programs. This role is a key part of our HR team and will be responsible for the administration of our employee benefit programs, including health and welfare and 401(k) plan, and leave of absence administration.
Key Responsibilities:
- Assist with new hires, qualifying life events, and terminations.
- Respond to escalated benefit issues from internal Benefits Team; collaborate and provide direction on policy and process to Benefits Team.
- Coordinate daily benefits processing, including enrollments, changes, terminations, and leave of absence requests.
- Meet with employees during open enrollment periods, communicating benefits information, and responding to employee inquiries.
- Ensure compliance with federal and state regulations.
- Oversee maintenance of employee benefits files and documenting administrative procedures.
- Advise and inform employees of the details of the company's benefit programs.
- Resolve benefit-related issues and respond to queries and requests in a timely manner.
- Assist with the open enrollment process and annual benefit tour including group presentations.
Benefits Program Manager Responsibilities:
- Manage administration of 401(k). Responsible for the annual 401(k) audit, non-discrimination testing and regulatory filings.
- Perform a variety of professional administrative tasks in support of the organization's retirement plans (Defined Benefit, Defined Contribution, Taft-Hartley, and Non-Qualified Deferred Compensation Plans).
- Coordinate business unit integrations with recordkeepers and support the divisions in the application and monitoring of the retirement plans.
- Collects and maintains compliance-related data or records that are accurate, complete, and fulfill legal requirements.
- Documents activities or processes that are meant to track or ensure compliance of organizational processes or functions.
Leave of Absence Administration:
- Communicate with employees and management regarding the leave process. Ensure that all parties are aware of the qualifications and required documentation to meet leave requirements.
- Track leave administration process from the employees' initial notice of leave through the return to work. Determine leave eligibility/designation, coordinate required paperwork along with any necessary medical certification in accordance with specified legal requirements and best practices.
- May initiate and facilitate the interactive process as necessary between employee and the company.
- Maintain reasonable communication with all parties to facilitate a smooth and timely return to work.
- Provides support for employees having benefit questions or problems regarding their medical coverage.
- Provides excellent customer service by communicating information to employees and managers pertaining to benefit plans and options, answers questions regarding benefit policies and procedures.
- Administer leave programs and policies in accordance with the applicable federal, state and local laws (FMLA, ADA, USERRA, Pregnancy Discrimination Act, etc.) and ensure compliance with company policies.
- Maintain up-to-date knowledge of all applicable leave and accommodation laws including the FMLA, ADA, state and local laws.
- Participates in staff meetings, other meetings, and seminars as requested and/or assigned.
- Assures compliance with all laws and/or regulations regarding areas of assignment.
- Maintains employee confidentiality.
- Other duties as assigned.
Required Qualifications:
- Three (3) to Five (5) year related experience and/or training; or equivalent combination of education and experience.
- Knowledge of Federal, State and local regulations and requirements.
- Must be a self-starter with the ability to work independently or with a team.
- Strong verbal and written communication skills.
- Effective planning and priority setting. Ability to manage several complex projects simultaneously while working under pressure to meet deadlines.
- Strong analytical skills and a thorough knowledge of plan designs.
- Ability to work in a fast pace high volume environment.
- No travel required.
