Operations Coordinator Role at Oceanfront Electric

We are seeking a skilled and detail-oriented Operations Coordinator to join our team at Oceanfront Electric.

  • We specialize in smart homes, new construction, remodels, and custom electrical design.

Job Responsibilities:

  • Assist the Project Manager/Owner with billing, contracts, job costing, and progress draws using Quickbooks.
  • Manage the Project Manager's schedule, ensure timely appointments, schedule meetings, and assist with process optimization.
  • Respond to phone calls, voicemails, and emails, providing accurate information to satisfy customer needs.
  • Deliver messages to team members and staff, maintaining open communication channels.
  • Maintain inventory of office supplies, breakroom essentials, and apparel, ordering replacements as needed.
  • Accurately enter materials for job costing and scan receipts weekly.
  • Perform various operational tasks, including customer service, follow-ups, coordinating with the service team, and confirming material orders.
  • Support project management and coordinate weekly team meetings, task assignments, and relevant information sharing.
  • Ensure office equipment functionality, replenish ink/toner, and maintain basic office upkeep, such as trash can emptying and plant watering.
  • Perform additional duties as required.

Requirements:

  • Excellent customer service skills to promote client satisfaction.
  • Strong oral and written communication skills, with proficiency in composing professional emails.
  • A self-starter who takes initiative and demonstrates active listening skills.
  • Exceptional organizational skills, with the ability to plan, prioritize, and execute duties efficiently.
  • Strong interpersonal skills, flexibility, and adaptability to changing work demands and multiple scenarios.
