Job Summary

We are seeking a highly skilled Pre-Award Finance Coordinator to join our team at Atrium Health. This individual will play a critical role in coordinating the preparation, processing, and submission of grant proposals and Clinical Trial Agreements.

Key Responsibilities

  • Collaborate with investigators, scientific team members, and leaders to ensure submissions are in compliance with agency and institutional policies.
  • Interpret grant and contract requirements, regulations, and funding agency guidelines to prepare detailed proposal budgets and projections.
  • Advise investigators on regulations, guidelines, and deadlines for proposal submissions, staying up-to-date on current changes and trends in federal and sponsor regulations.
  • Review and complete pre-award financial activities for department-approved clinical trials, including request/creation of Medicare Coverage Analysis and creation of internal cost budget.
  • Negotiate clinical trial budget and payment terms associated with clinical trial protocols and protocol amendments.
  • Serve as a liaison between clinical teammates, investigators, sponsors/CROs, and Central Research Offices.
  • Provide weekly updates on clinical trial budget and agreements in the pre-activation phase and at the time of receipt of protocol amendments.
  • Gather information from Clinical Trial protocol and/or agreement for execution of sub-contract with external vendors.
  • Complete pre-award grants administration process in accordance with federal guidelines.
  • Provide leadership to ensure effective and efficient grant and clinical trial budget development.
  • Manage grant application process, including completion of pre-submission documentation, preparation of accurate application package, approval of budget, coordination of submission to central office and funding agency, and tracking of final proposal.
  • Resolve complex, sensitive, and other non-routine issues related to grant/Clinical Trial administration and contract negotiation.
  • Gather information from a variety of federal, state, and private granting agencies.
  • Interpret grant and contract requirements, funding agency guidelines, and billing compliance requirements.
  • Provide consultation and technical services to support faculty and team members in developing internal and external grant proposals that support the mission and goals.
  • Prepare monthly monitoring reports for the department, including upcoming proposal deadlines, report deadlines, and other administrative renewals.
  • Coordinate with the Office of Grants and Contracts/Sponsored Programs regarding grant requests from faculty and team members.
  • Advise leadership/faculty of grant funding programs/opportunities, reviewing and disseminating information from sponsors regarding deadlines.
  • Ensure on-time submission of necessary documentation and monitor electronic submission processes.
  • Maintain archives on submitted external proposals and contracts.
  • Oversee establishment of new awards, reviewing new grants and awards for compliance and requirements.
  • Serve as a liaison between the department and other units on all pre-award matters.

Physical Requirements

This role requires periods of standing, sitting, walking, and some light lifting.

Education, Experience, and Certifications

Bachelor's Degree in Business, Accounting, Finance, or a related field is required. 4 to 6 years of directly related experience is also required.
