Job Title: Administrative Specialist

Job Summary:

We are seeking an experienced Administrative Specialist to join our team at Quantech Services. The successful candidate will be responsible for maintaining office operations, providing administrative support, and ensuring the smooth day-to-day functioning of our office.

Responsibilities:

  • Maintain office operations and provide administrative support to ensure the efficient functioning of the office.
  • Handle administrative duties, including filing, taking phone calls and messages, scheduling appointments, and making travel arrangements.
  • Manage daily and long-range calendar support for leadership and senior leader locator process.
  • Coordinate schedules, invitations, agendas, briefing charts, location setup, and logistics for all meetings and events.
  • Manage reports and tracking of all office correspondence.
  • Maintain conference room schedules and ensure meeting preparations are accomplished.
  • Facilitate and manage information flow between leadership levels to promote efficiencies, timeliness, and effectiveness.
  • Prepare, coordinate, analyze, review, and submit tasker responses to internal and external taskers and develop effective workflow process for internal and external taskers.
  • Provide task status to senior leadership.
  • Assist in the preparation and formatting of memorandums, reports, briefings, spreadsheets, and databases.
  • Provide document control.
  • Institute quality control measures, monitor administrative process performance, and conduct process improvement as needed.

Requirements:

  • Minimum of 3 years of total work experience with at least 1 year of administration experience.
  • Experience with CATMS and DTS.
  • Requires an active Secret clearance.

Work Environment:

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, scanners, filing cabinets, and fax machines.

Physical Demands:

This is largely a sedentary role, mostly sitting; however, some filing may be required. This would require the ability to move files, or boxes with file data, open filing cabinets, and bend or stand as necessary, ability to lift up to 40lbs.

Mental Demands:

Reading; communicate effectively (verbal and written); maintain emotional control and professionalism.
