The Associate Manager of Student Accounts is a key member of the Beloit College community, responsible for managing student billing and receivables, ensuring accurate financial statement reporting, and providing exceptional customer service to students and parents.
Key Responsibilities- Financial Management: Administer the billing, cash receipts, student account services, and bursar functions, ensuring timely and accurate processing of student accounts.
- Internal Controls: Maintain and administer internal controls related to billing, revenue, and collections, ensuring compliance with College policies and procedures.
- Counseling and Assistance: Counsel and assist students and parents on financial matters, providing guidance on managing student account balances and resolving complex account issues.
- Research and Analysis: Assist students, parents, office staff, and other student services departments with research and analysis of student accounts, making decisions to resolve discrepancies and complex account problems.
- Collection and Refunds: Coordinate the collection of student accounts receivable for current and past-due accounts, processing billing withdrawal calculations for withdrawn students, and administering the student refund process.
- Accounting and Reporting: Create accurate student charges for tuition, room, and board, fees, and fines using the administrative software (Jenzabar), reconciling charges to Registrar, housing, and board vendor records.
- Decision Making: Make decisions regarding student, vendor, and sponsor accounts, adjusting invoices, correcting payment errors, and writing off balances as approved.
- Communication: Effectively communicate accurate billing account information to students and parents, adhering to FERPA guidelines, in a timely and customer-centric manner that represents the College well.
- Policy Enforcement: Enforce and adhere to College policy related to student accounts, placing financial holds and clearing transcript/diploma as necessary.
- Receivables and Collections: Reconcile and analyze all receivables for accuracy and payment, creating payment arrangements or placing accounts in collection when necessary.
- Subsidiary Accounts: Maintain accurate subsidiary accounts balances, such as matriculation deposits.
- Loan Management: Manage the College's loan programs, adhering to Title IV regulations, including processing separations, pursuing collections on past-due accounts, and managing Federal Perkins loan assignments.
- Front Office Operations: Work in day-to-day operation of the front office, including answering front-line office communications, scheduling appointments, and supervising student workers.
- Administrative Support: Assist with other projects, administrative duties, and initiatives as assigned.
- Bachelor's degree in business or related field.
- Extensive experience in accounts receivable, billing, cash-handling, collections, and data entry.
- Advanced Microsoft Excel skills and proficiency with other Microsoft Office and computerized ERP accounting systems.
