As an Administrative Assistant, you will undertake a range of operational responsibilities, including managing high-volume document processing, overseeing mail systems, and supporting various office functions. Reporting to the Site Manager or Supervisor, you will ensure efficient office operations, handle correspondence, and maintain inventory records. You may also assist with customer service, meeting arrangements, and light maintenance tasks.
Key Responsibilities:
- Accurately process incoming mail from various carriers, ensuring accountability.
- Utilize tracking systems for effective mail management.
- Maintain detailed logs for mail counts and essential information.
- Deliver mail throughout the office, ensuring timely distribution.
- Meet physical requirements, including lifting up to 50 lbs.
- Support light maintenance tasks as needed.
- Operate high-volume copy machines and perform finishing tasks.
- Manage office tasks using standard software applications.
- Conduct maintenance checks on office equipment and troubleshoot issues.
- Maintain accurate inventory records and distribute supplies.
- Coordinate service requests and respond to inquiries.
- Assist with meeting setups and office relocations.
- Perform occasional cleaning and light maintenance duties.
- Operate various office equipment as required.
- Conduct filing duties, including archiving documents.
- Valid Driver's License with a clean driving record.
- Proficient in English communication, both written and verbal.
- Basic computer skills are advantageous for career advancement.
- Strong organizational and multitasking abilities.
- Effective communication skills with colleagues and clients.
- Attention to detail and accuracy in record-keeping.
- Flexibility to work occasional overtime as needed.
