Administrative Support Specialist

Job Summary
The Administrative Assistant II is a key member of the Matrix Service team, responsible for providing administrative support and assistance to the organization on a day-to-day basis. This role requires a high level of organization, attention to detail, and excellent communication skills.
Key Responsibilities
- Provide administrative support and assistance to the organization, including filing, typing, and general office functions.
- Facilitate the organization of office documentation and records, including incoming and outgoing letters, transmittals, and submittals.
- Coordinate and process general administrative work, including timesheets, vacation requests, and travel arrangements.
- Prepare and proof letters, memos, reports, and other documents.
- Provide back-up support for the Receptionist, as needed.
- Perform other duties as required or assigned.
Requirements
- 2+ years' general office/clerical experience, with a working knowledge of general office procedures.
- Proficiency in using Microsoft Word, Excel, Outlook, and familiarity with databases.
- Strong communication skills, with the ability to maintain confidentiality.
- Strong detail orientation and organizational skills.
- Ability to prioritize work and manage multiple projects and deadlines.
- Ability to work well under pressure and maintain a positive attitude.
- Knowledge of filing and documentation control.
- Professional demeanor, attitude, and appearance.
