About the Environment Program
The Environment Program encompasses two primary portfolios: one focused on Climate Change and the other on Conservation. Our Climate initiative aims to reduce global greenhouse gas emissions, striving to maintain the global average temperature increase well below 2°C above pre-industrial levels while supporting a just transition to a sustainable, low-carbon economy. Our Conservation efforts are dedicated to preserving landscapes and waterways in the Western United States for the benefit of both people and wildlife.

The Environment Program team currently comprises 10 members, including four program officers, with an annual grantmaking budget of approximately $200 million.

Position Overview
The Operations Manager will deliver comprehensive programmatic, operational, and administrative support to the Program Director and the Environment team. This role will be a vital operations partner for the Program Director, focusing on program and team management, workflow optimization, and internal/external communications to foster a high-functioning and positive team culture.

Key Responsibilities
Administrative Budget Management

  • Collaborate with the Program Director and Environment team to prepare annual administrative and evaluation budgets.
  • Oversee the execution of grantmaking, administrative, consultant, and evaluation budgets, ensuring compliance with budget benchmarks.
  • Work with the Grants Officer to track workflow and grant pacing, reconciling payments in Salesforce and other tracking documents.
Program Coordination
  • Manage the planning and execution of annual program retreats, including agenda setting and facilitator coordination.
  • Support team-building initiatives and foster a positive organizational culture.
  • Facilitate diversity, equity, and inclusion efforts within the team and across the foundation.
  • Develop and maintain filing systems and databases for Environment Program documentation.
  • Document and enhance team-wide processes such as budget tracking and reconciliation.
  • Implement orientation and onboarding processes for new program staff.
  • Collaborate with program associates to manage workflow and provide mentorship.
  • Understand basic grants administration processes to support Program Associates as needed.
  • Coordinate overall program learning and synergies across strategies.
  • Assist the Director in communications with the team and external stakeholders.
  • Gather materials for board meetings on behalf of the Environment team, ensuring deadlines are met.
  • Lead special projects within the Environment program and across the foundation.
Support for the Program Director
  • Manage external inquiries and coordinate responses, including preparing correspondence and documentation.
  • Assist the Director in managing relationships with internal departments.
  • Coordinate the Director's calendar, ensuring strategic prioritization of engagements.
  • Prepare for the Director's engagements by researching topics and creating briefing materials.
  • Represent the Director in meetings and networks as appropriate.
  • Review documents for the Director's approval, ensuring alignment with foundation priorities.
Required Qualifications
  • Five to seven years of relevant experience.
  • Experience in program management, preferably within a grantmaking organization.
  • Strong project management skills and adaptability to new processes.
  • Ability to work collaboratively in teams and independently.
  • Exceptional organizational skills and attention to detail.
  • Proactive problem-solving abilities.
  • Strong judgment and discretion.
  • Proficiency in Microsoft Office Suite, particularly Excel; experience with Salesforce is a plus.

Work Environment
This position is based in a hybrid work environment. Staff are expected to work from the office several times a week. The role requires extended periods of computer use.

Compensation and Benefits
The Hewlett Foundation offers a competitive compensation package, including a salary range of $120,000-$155,000, based on experience and internal equity.
