Position Summary

The role of the Patient Services Specialist is crucial in providing support to our esteemed Bone and Joint Institute. This position involves managing patient appointments, facilitating front desk registration, overseeing patient check-out processes, maintaining accurate records, and delivering outstanding customer service.

Key Responsibilities

  1. Efficiently schedule patient appointments while adhering to established protocols in the electronic medical record (EMR) system.
  2. Ensure patient information is current by confirming and updating demographic details.
  3. Distribute necessary documentation and HIPAA information to patients to uphold compliance standards.
  4. Maintain adequate supplies for the front office, ensuring purchases are budget-conscious and effective.
  5. Accurately enter IT and maintenance requests in a timely manner.
  6. Collect daily deposits from relevant departments as required.
  7. Assist in onboarding and training new hires, and provide support to colleagues during quieter periods.
  8. Guarantee sufficient coverage at the reception area during staff absences.
  9. Collaborate closely with the Office Coordinator/Director to identify and propose solutions for front office challenges; actively participate in departmental meetings.
  10. Oversee the check-in and check-out processes, addressing inquiries related to scheduling, co-pays, insurance, and related systems.
  11. Maintain open communication with all staff members, engaging with patients and colleagues in a professional manner regarding scheduling, messages, and workflow adjustments.
  12. Uphold a professional appearance and maintain work areas that reflect cleanliness and order.

Qualifications

Formal Education: High School diploma or equivalent.

Experience: A minimum of one year in a medical office setting with strong communication skills.

Technical Skills: Proficient in the use of office equipment including computers, printers, and document scanners.

Physical Requirements: Ability to sit, stand, and communicate effectively in both verbal and written forms.
