Patient Intake Specialist

Texas Oncology is seeking a dedicated New Patient Coordinator to enhance our patient intake process. This full-time role is crucial in facilitating a seamless experience for new patients at our oncology clinics.

In this role, the New Patient Coordinator will play a vital part in managing the new patient referral process, ensuring all necessary information is collected and verified. The coordinator will serve as the first point of contact for patients, providing exemplary customer service and support.
Key Responsibilities:
1. Oversee the new patient referral process, ensuring adherence to departmental standards.
2. Deliver outstanding customer service to patients and stakeholders, acting as the clinic's initial contact.
3. Assess patient needs to prioritize and triage referrals effectively.
4. Manage incoming calls, take messages, and respond to inquiries from patients, physicians, and clients.
5. Follow up on outstanding medical records and test results from referring providers.
6. Collect and verify patient demographic, insurance, and referral information.
7. Register patient accounts in the practice management system and facilitate insurance benefit investigations.
8. Provide patients with essential appointment details, including time, location, and instructions.
9. Distribute necessary medical forms for completion prior to the initial visit.
10. Maintain and update physician schedules to ensure appropriate patient bookings.
11. Collaborate with the clinical team to accommodate scheduling requests.
12. Document and update patient records accurately in designated systems.
13. Support providers in resolving complex administrative issues while maintaining confidentiality and adhering to HIPAA regulations.
Qualifications:
- High School diploma or equivalent required.
- Preferred: Two years of experience in revenue cycle or patient access within healthcare, or a combination of education and experience.
- Familiarity with various practice management and electronic health record systems is advantageous.
- Proficiency in Microsoft Office Suite (Outlook, Word, Teams, Excel) is required.
- Knowledge of medical terminology and insurance verification processes is essential.
- Completion of onboarding courses and training is required within the initial period of employment.
