We are seeking a highly skilled and organized individual to fill the role of Executive Assistant at Mixed Employment Partners. This position requires a strong ability to manage multiple tasks and priorities, as well as excellent communication and interpersonal skills.

Key Responsibilities:
  • Manage and maintain the CEO's schedule, ensuring timely and efficient execution of tasks and meetings.
  • Provide administrative support to the CEO and Executive Team, including preparing correspondence, meeting minutes, and agendas.
  • Perform general office duties such as preparing records, reports, and presentations, as well as arranging and maintaining office policies and procedures.
  • Coordinate and/or perform follow-up action items based on meeting outcomes, and handle all incoming calls and correspondence for the CEO.
  • Maintain the Corporate Record Book and attend necessary internal and external meetings, serving as a representative for the CEO when necessary.
  • Assist the Rosario team in coordinating social activities and compile data, prepare year-end financial and legal information, and maintain all pertinent records for the CEO and enterprises.
  • Manage travel for the Executive Team and may be required to run errands and/or transport individuals.
  • Maintain the corporate calendar with the Executive Team and other CEO priorities, and coordinate and prepare for annual holiday office parties and other events as necessary.
  • Coordinate and plan executive team meetings and 1:1's, order stationery and business cards for staff as needed, and plan, coordinate, and manage annual strategic planning sessions.
  • Maintain documentation and coordinate needed legal activities across enterprises, manage financial information as directed, and oversee weekly/quarterly/annual bookkeeping, invoice tracking, contracts, etc. for all enterprises.
Requirements:
  • High School Diploma or GED required.
  • Associate degree in Business Administration preferred with 2-3 years previous experience providing support at an executive level.
  • Experience handling legal, financial, and confidential information is essential.
  • A valid Michigan driver's license is required.
  • Bilingual skills in English and Spanish are preferred but not mandatory.
