POSITION OVERVIEW:

The Maintenance Operations Specialist is responsible for overseeing maintenance customer support, inventory management, and administrative tasks that enhance operational efficiency, customer satisfaction, and profitability across the organization.

This role demands exceptional customer service and communication skills to effectively engage with both internal and external stakeholders. The Maintenance Operations Specialist will assist the financial management team by providing valuable insights and information that contribute to overall performance and profitability.

KEY RESPONSIBILITIES

Customer Support for Maintenance Services

  • Manage the Service Net Planner to coordinate preventive maintenance campaigns, repairs from customer inquiries, and service requests, including after-hours calls.
  • Collaborate with centralized scheduling and external repair management teams to ensure seamless service delivery.
  • Welcome customers upon arrival and provide exemplary phone support, addressing inquiries related to billing and service scheduling.

Inventory Management

  • Ensure comprehensive oversight of inventory processes to support timely service while minimizing the risk of loss.
  • Maintain optimal inventory levels by ordering parts according to established procedures, ensuring timely and defect-free deliveries from suppliers.
  • Organize and store parts efficiently for easy access, ensuring timely updates to inventory systems and conducting regular cycle counts.
  • Oversee battery inventory and tire stock, ensuring appropriate quantities and specifications are maintained.
  • Manage warranty processes, ensuring timely shipping and receipt of warranty items, and coordinating with the warranty department on returns.

Process Improvement and Analysis

  • Conduct analyses of processes related to inventory, maintenance profitability, warranty campaigns, and service order reviews, identifying and recommending solutions to enhance profitability.
  • Utilize systems such as ServiceNet to gain insights into operational dynamics for effective problem-solving and process enhancements.

Additional Responsibilities

  • Undertake projects and tasks as assigned by management to support operational goals.

QUALIFICATIONS:

  • High school diploma or equivalent required; degree preferred.
  • Strong interpersonal skills with a focus on collaboration within the team.
  • Proficient written and verbal communication abilities.
  • Minimum of 2 years of experience in customer service and operations.
  • Preferred experience in service and parts departments.
  • Quick learner with a passion for collaborative projects and ongoing education.
  • Advanced proficiency in Microsoft Office Suite, including Word, Excel, Outlook, and PowerPoint.
  • Regular attendance is a critical function of this role.
  • Willingness to travel as needed and complete all necessary employment processes, including background checks and drug screenings.
