Role Summary:
The HR Information Systems Lead is essential in ensuring that the HRIS aligns with the organization's human resources and operational requirements while enhancing efficiency, data integrity, and regulatory compliance. This position encompasses the oversight of HRIS implementation, integration, and administration, collaborating closely with IT and service providers, identifying opportunities for process optimization, ensuring compliance with HRIS standards, and utilizing data analytics to deliver critical HR insights. The HR Information Systems Lead will also manage routine administrative functions such as onboarding, offboarding, promotions, transfers, and the upkeep of employee records.
Key Responsibilities:
System Oversight and Maintenance
· Guarantee the optimal performance and accessibility of the HRIS.
· Track system functionality, resolve issues, and liaise with IT for technical assistance.
· Supervise system upgrades, patches, and updates in partnership with vendors or IT departments.
· Ensure data accuracy and quality within the HRIS database.
Data Governance
· Manage data entry, updates, and cleansing to maintain precise and current employee information.
· Establish and enforce data management standards and protocols.
· Ensure adherence to data privacy laws and security protocols.
User Assistance and Training
· Offer support and training to HR personnel and end-users on system functionalities and best practices.
· Address user inquiries and issues related to the HRIS.
· Develop and maintain user manuals and documentation.
Reporting and Data Analysis
· Produce regular and on-demand reports from the HRIS to facilitate HR and organizational decision-making.
· Analyze HR data to uncover trends, patterns, and areas for process enhancement.
· Create and sustain dashboards and visual representations for HR metrics and analytics.
Process Enhancement
· Collaborate with the HR Director to pinpoint opportunities for process refinement and automation.
· Suggest improvements to existing HRIS workflows and functionalities.
· Implement modifications to boost the efficiency and effectiveness of HR operations.
Vendor Relations
· Manage partnerships with HRIS vendors and service providers.
· Work with vendors on system enhancements, upgrades, and problem resolution.
Security and Compliance
· Safeguard HRIS data through access controls, permissions, and user authentication.
· Ensure compliance with data protection regulations and internal governance policies.
Integration and Data Synchronization
· Oversee integrations between the HRIS and other systems (e.g., payroll, benefits, attendance tracking).
· Ensure data accuracy and consistency during data exchanges between systems.
Training and Development
· Provide training and professional development opportunities for HRIS team members.
· Stay informed about industry trends, advancements in HRIS technology, and best practices.
Change Management
· Lead change management initiatives related to HRIS updates, new features, or process modifications.
· Communicate changes to stakeholders and facilitate their adoption.
Qualifications:
· Bachelor's degree in Human Resources, Information Technology, Business Administration, or a related discipline.
· 6+ years of experience in HRIS management or a comparable role, ideally in a dynamic corporate setting.
· Proficiency in HRIS platforms (e.g., Workday, SAP SuccessFactors, Oracle HCM) and associated software applications.
· Strong grasp of HR processes and best practices, including recruitment, onboarding, performance management, and employee relations.
· Exceptional analytical, problem-solving, and project management capabilities.
· Strong communication skills, with the ability to collaborate with cross-functional teams and convey technical concepts to non-technical audiences.
· Capacity to prioritize tasks, manage multiple projects concurrently, and work autonomously with minimal oversight.
· Certification in HRIS administration or a related field (e.g., SHRM-SCP, PHR, HRIP) is advantageous.
