Administrative Coordinator

We are seeking a highly skilled Administrative Assistant to join our team at Catapult. This role will provide administrative support to our construction team, handling various tasks and responsibilities.
Key Responsibilities:
Our ideal candidate will have experience in office administration, with a strong focus on customer service and communication. The successful candidate will be responsible for:
- Managing office supplies and ensuring a well-organized workspace
- Providing exceptional customer service to clients and colleagues
- Preparing and delivering bids and proposals
- Supporting hiring needs and maintaining a professional office appearance
- Assisting with travel arrangements and community service projects
- Aiding project teams with daily tasks and administrative duties
Project Support:
The successful candidate will also provide administrative support to our project teams, including:
- Setting up projects according to company policies
- Supporting project teams across multiple projects, with varying scopes of work
- Preparing billing documents and collecting subcontracts/purchase orders
- Administering contracts and processing vendor invoices
- Maintaining job records and facilitating project closeout
- Ensuring compliance and ethics in documentation
Division Support:
The successful candidate will also provide administrative support to our division, including:
- Supporting EEO compliance on federally funded projects
- Managing division contract approvals and providing administrative backup
- Assisting with office tasks such as mail management and scheduling
Requirements:
To be successful in this role, the candidate will need:
- 2 years of administrative experience in the construction industry or an Associate's Degree with 1 year of experience
- High School Diploma or GED
- Strong communication skills
- Proficient in Microsoft Office, multi-line switchboards, and office equipment
- Valid driver's license for company business
