Job Opportunity

We are seeking a highly skilled Administrative Assistant to join our team at Catapult. This role will provide administrative support to our construction team, handling various tasks and responsibilities.


Key Responsibilities:

Our ideal candidate will have experience in office administration, with a strong focus on customer service and communication. The successful candidate will be responsible for:

  • Managing office supplies and ensuring a well-organized workspace
  • Providing exceptional customer service to clients and colleagues
  • Preparing and delivering bids and proposals
  • Supporting hiring needs and maintaining a professional office appearance
  • Assisting with travel arrangements and community service projects
  • Aiding project teams with daily tasks and administrative duties

Project Support:

The successful candidate will also provide administrative support to our project teams, including:

  • Setting up projects according to company policies
  • Supporting project teams across multiple projects, with varying scopes of work
  • Preparing billing documents and collecting subcontracts/purchase orders
  • Administering contracts and processing vendor invoices
  • Maintaining job records and facilitating project closeout
  • Ensuring compliance and ethics in documentation

Division Support:

The successful candidate will also provide administrative support to our division, including:

  • Supporting EEO compliance on federally funded projects
  • Managing division contract approvals and providing administrative backup
  • Assisting with office tasks such as mail management and scheduling

Requirements:

To be successful in this role, the candidate will need:

  • 2 years of administrative experience in the construction industry or an Associate's Degree with 1 year of experience
  • High School Diploma or GED
  • Strong communication skills
  • Proficient in Microsoft Office, multi-line switchboards, and office equipment
  • Valid driver's license for company business
