Job Summary

Forrest Solutions is seeking a highly organized and detail-oriented Administrative Assistant to provide high-level administrative support to our team. The ideal candidate will have excellent organizational skills, attention to detail, and the ability to manage multiple tasks simultaneously.

Key Responsibilities
  • Expense Report Management: Prepare, review, and submit expense reports for employees and management, ensuring accuracy and compliance with company policies.
  • Travel Coordination: Coordinate and arrange travel for employees, including booking flights, accommodations, transportation, and handling itinerary changes as needed.
  • Record Keeping: Maintain accurate records of travel arrangements and expenses.
  • Administrative Support: Provide general administrative support, including scheduling meetings, managing calendars, and organizing files.
  • Document Preparation: Assist with the preparation of documents, reports, and presentations.
  • Vendor Communication: Communicate with vendors and service providers to resolve travel-related issues.
  • Travel Documentation: Ensure that all travel-related documentation, such as passports and visas, are up-to-date and compliant with travel requirements.
  • Employee Support: Handle inquiries and requests from employees and management in a timely and professional manner.
  • Special Projects: Support other administrative tasks and special projects as assigned by management.
Requirements
  • Education: High school diploma or equivalent; a bachelor's degree in business administration or a related field is preferred.
  • Experience: Proven experience in an administrative support role, preferably with experience in managing expense reports and travel arrangements.
  • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Soft Skills: Strong organizational and time-management skills with the ability to prioritize tasks, excellent communication and interpersonal skills, attention to detail, and accuracy in managing financial data.
  • Additional Requirements: Ability to handle confidential information with discretion, familiarity with travel booking platforms and expense management software is a plus.
