Position Overview

This role offers the flexibility of 100% remote work. Engage in pre-award sponsored research functions essential for the preparation and acceptance of sponsored projects within designated departments. Provide support to principal investigators (PIs) in relation to the submission of sponsored proposals and the management of awards. Collaborate with the Research Administrators (RAs) from the Sponsored Projects Administration (SPA) to interpret sponsor regulations and University policies for PIs, serving as the primary resource for research administration processes within the college. Work alongside RAs to develop and implement training programs. Participate in onboarding PIs, clarifying their roles and responsibilities in managing sponsored initiatives.

Proposal Development and Submission Establish and maintain accounts in relevant electronic research administration (ERA) systems at the University and sponsor sites for proposal submission and award management. Monitor and communicate proposal timelines, deadlines, and requests for proposals; collaborate with PIs to interpret guidelines or address issues. Identify and acquire specified guidelines from sponsoring agencies, including target amounts, start dates, performance periods, and budgetary requirements. Analyze data necessary for proposals, such as biographical sketches and effort commitments, and compile as required. Review both routine and complex proposals to ensure compliance with submission package policies and procedures; refer to the appropriate RA if University terms are not met. Act as a liaison for proposals and submission processes; ensure that the internal review process is completed. Maintain an up-to-date database and documentation of proposal correspondence and all relevant materials. Ensure the timely submission of proposals. Award Administration and Acceptance Assist with the submission of post-proposal materials, including just-in-time (JIT) requests and revisions of budgets or scopes of work, as required by the sponsor for potential funding. Maintain ongoing communication regarding grant and contract administration with the PI, unit administrators, and college administration. Collaborate with department leadership and/or the PI to allocate academic year or summer effort to an award. Upon acceptance of a potential award, assist college administration in evaluating the financial risks associated with the need for an advance account. Work with principal investigators and RAs to draft and submit communications to sponsors. Complete data collection forms in collaboration with the PI and cross-campus colleagues. Address and resolve any outstanding issues in partnership with the PI and/or cross-campus departments. Review sponsor regulations as outlined in award documents and coordinate with PIs to ensure compliance with sponsor-specific terms and conditions. Education and Work Experience: Bachelor's Degree
Relevant Work Experience: 2-4 years
Competencies: Proficient understanding of contracts and grants transactions along with applicable financial systems and related policy requirements. Demonstrated knowledge of relevant federal, state, local, sponsor, and institutional regulations, policies, and guidelines. Ability to work independently and collaboratively, research and resolve issues, meet deadlines, and follow through on assignments with minimal supervision. Strong organizational and communication skills, with a focus on customer service across diverse subject areas. Accounting and budgeting skills for managing complex financial accounts and funds, along with knowledge of generally accepted accounting, fiscal, and reporting principles. Capacity to manage a significant volume of transactions. Desirable Qualifications In-depth knowledge of compliance requirements related to the use of human or animal subjects in research, financial conflict of interest, biosafety, etc. (if applicable). 3 years of demonstrated experience in research contract and grant management.
