Job Summary:

We are seeking a highly organized and detail-oriented Administrative Support Specialist to join our team at Manage Chicago, Inc. As an Administrative Support Specialist, you will provide administrative support to our on-site staff, ensuring the smooth operation of our real estate office.

Key Responsibilities:

  • Provide exceptional customer service to tenants, vendors, contractors, and guests, ensuring a positive first impression and a high level of satisfaction.
  • Process notices to residents in a timely and efficient manner, maintaining accurate records and ensuring compliance with company policies.
  • Manage inventory and order office supplies, furniture, and equipment, ensuring a well-stocked and organized office environment.
  • Assist with work order requests, prepare invoices for manager's approval, and handle rent collections in a professional and timely manner.
  • Coordinate moving schedules, deliveries, and other logistical tasks, ensuring seamless transitions for residents.
  • Maintain and update resident files, including filing away documents in a timely manner, and process, deliver, and follow up on legal notices as needed.
  • Update and maintain the waiting list on a monthly basis, ensuring accurate and up-to-date information.
  • Assist with inspections, preparations of re-certifications, and leasing activities, ensuring compliance with company policies and procedures.
  • Process renewals and may assist in showing property and apartments to prospects as necessary.
  • Handle maintenance paperwork, including filing reports, time sheets, schedules, and appointments, ensuring accurate and timely completion.

Requirements:

  • High school diploma or equivalent required.
  • Excellent communication and customer service skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Basic computer skills and proficiency in Microsoft Office.
  • Ability to maintain confidentiality and handle sensitive information.
