Job Summary

We are seeking an experienced Administrative Specialist to join our team at the Metropolitan Water Reclamation District of Greater Chicago. As an Administrative Specialist, you will provide administrative support to our department, performing a variety of tasks such as document management, data collection, and coordination of internal processes.

Key Responsibilities

  • Coordinate administrative processes related to personnel selection, contract administration, budget preparation, and inventory management.
  • Collect and compile information, generating basic reports and performing basic bookkeeping activities.
  • Assist with routine budget activities, including entry of budget requests, coding expenditures, and monitoring available funds.
  • Compose, format, and distribute correspondence, reviewing documents for completeness and accuracy.
  • Manage paper and electronic records, entering, retrieving, and updating computerized file information.
  • Direct the flow of information to and from a work group, assessing the urgency of incoming communications.
  • Track completion of administrative tasks and assignments for assigned sections or work groups.
  • Use computer applications for word processing, spreadsheets, basic database management, and other functions.
  • Provide direction to administrative staff, assigning and reviewing work.

Requirements

To be successful in this role, you will need to have a strong understanding of administrative principles and practices, as well as excellent communication and organizational skills. You will also need to be proficient in computer applications and have the ability to work independently and as part of a team.

Qualifications

  • Graduation from an accredited college or university with an associate's degree and three years of experience performing administrative tasks.
  • Additional experience may be substituted for the required education on a year-for-year basis.
  • Full-time study at an accredited college or university may be substituted for the required experience, to a maximum of two years.

Preferred Qualifications

  • One year of service with the District as an Accounting Associate, Administrative Assistant, Secretary, Human Resources Assistant, or Administrative Specialist.
  • Civil service status in one of the foregoing classifications.
