Fleet Operations Administrator Job Description

Vaco is seeking a highly skilled Fleet Operations Administrator to join our team. As a key member of our fleet operations department, you will be responsible for ensuring the smooth operation of our fleet management processes.

Key Responsibilities:
  • Analysis and Reporting: Provide in-depth analysis of fleet-related operational and regulatory data, utilizing internal and external sources, including telematics and in-cab camera systems.
  • Compliance and Risk Management: Maintain and ensure compliance with Driver Qualification (DQ) Files, adhering to Federal Motor Carrier Safety Administration (FMCSA) regulations.
  • Background Checks and Compliance: Conduct and process background checks, communicating compliance with hiring standards to hiring managers.
  • Fleet Technology and Maintenance: Serve as the fleet department technology coordinator, working with telematics, electronic toll devices, and other systems.
  • Presentations and Forecasting: Assist in the development of fleet-related presentations and forecasts.
  • Safety and Accident Reporting: Maintain safe practices at all times, including accident reporting and follow-up.
  • Vehicle Renewals and Licensing: Assist with yearly vehicle renewals and expedite International Registration Plan (IRP) Licensing, renewals, and special permitting.
  • Regulatory Research and Communication: Research and communicate changes in state laws and requirements.
  • Data Integrity and Management: Maintain and ensure data integrity of driver hours, vehicle information, including fuel and mileage data.
  • Special Projects and Compliance: Participate in special projects as assigned and ensure compliance with FMCSA and DOT regulations and guidelines.
Requirements:
  • Effective Communication: Ability to communicate effectively with all levels of employees, customers, and vendors.
  • Organization and Time Management: Organization skills, detail-oriented, and ability to handle multiple priorities to meet required deadlines.
  • Technical Skills: Proficient with Microsoft Office Word, Excel, and PowerPoint.
  • Strong Analytical and Written Skills: Strong written, verbal communication, and analytical skills.
  • Preferred Qualifications: Associate's or Bachelor's degree or equivalent work experience.
Reporting and Employee Status:

The Fleet Operations Administrator reports directly to the Director of Fleet Operations and is a non-exempt position.
