Job Title: Account Executive

At EVENTLINK GROUP, we are seeking a highly organized and detail-oriented Account Executive to join our team. As an Account Executive, you will be responsible for providing internal support on specific projects to an Account Executive, ensuring seamless execution and exceptional client satisfaction.

Key Responsibilities:
  • Collaborate with Account Directors to maintain client job folders, adhering to EventLink requirements.
  • Attend internal project meetings, rehearsals, and client status meetings as needed, ensuring effective communication and project progress.
  • Prepare and follow up on purchase requests, support vehicle requests, graphic production, and coordinate crew travel under the direction of Account Directors.
  • Update load lists and tour calendars in a timely manner, communicating changes to required individuals and following up with warehouse staff daily if necessary.
  • Assist Account Directors with budget creation as needed, ensuring accurate and timely financial management.
  • Work with purchasing to procure all event essentials, ensuring timely delivery and high-quality products.
  • Properly hire on-site crew and create job assignments, presenting to Account Directors for final approval.
  • Research new vendors or products that are project-specific, establishing good rapport with vendors and providing resource information for inclusion in the resource database.
  • Manage all events on-site and any necessary rehearsals, ensuring smooth execution and client satisfaction.
  • Order execution and follow up with any outside vendors who are providing goods or services for the project.
  • Assist Account Directors in tracking project costs, ensuring accurate financial management and reporting.
  • Provide administrative assistance to assigned client services teams on day-to-day activities for assigned clients, including opening job folders and keeping client status reports.
  • Submit staff timesheets to Account Directors for approval.
Qualifications:
  • High school diploma is the minimum education requirement; a Bachelor's degree in a business-related field is preferred.
  • Minimum of 2 years of field event management experience; additional office experience is a plus.
  • Intermediate computer skills and knowledge of Microsoft Word, Excel, and Outlook.
  • Working knowledge of Visio and Adobe Illustrator is a plus.
  • Automotive event brands experience is desired.
  • Automotive interest is required.
Skills:
  • Must possess organizational and consistent follow-through skills.
  • Ability to multi-task, prioritize work, and take direction from multiple people.
  • Ability to communicate clearly and professionally to all levels of the organization, as well as to external customers and/or vendors.
  • Must be resourceful and have the ability to troubleshoot and solve problems quickly.
  • Must have excellent time management skills.
Schedule:
  • Ability to travel throughout the year.
  • Must be flexible with work schedules.
