SUMMARY
The Executive Assistant to the President is responsible for coordinating the administrative and secretarial operations of the President's office. This role encompasses a range of administrative responsibilities, including maintaining records of Board of Trustees and Cabinet meetings, preparing necessary documentation, and scheduling appointments for the University President. The position also involves organizing special programs and implementing office procedures to ensure a professional and efficient office environment.

ESSENTIAL DUTIES AND RESPONSIBILITIES
The following duties are essential to the role. Additional responsibilities may be assigned as needed.
  • Welcomes visitors and directs them to the appropriate area or individual.
  • Manages and screens telephone calls for the President, responding independently when feasible, and coordinating conference calls.
  • Oversees the President's calendar, scheduling appointments and ensuring the Columbia Union Conference Calendar is current.
  • Reviews and routes incoming correspondence, attaching relevant files for the President's response.
  • Composes and types routine correspondence, preparing outgoing mail, including emails and faxes, and responding independently when appropriate.
  • Duplicates correspondence and other printed materials as needed.
  • Establishes consistent correspondence procedures and style guidelines.
  • Organizes and maintains an efficient filing system, ensuring systematic retention, protection, retrieval, transfer, and disposal of office records.
  • Coordinates meetings for committees chaired by the President.
  • Arranges and prepares for meetings, including creating agendas, reserving facilities, and recording minutes for President's Cabinet meetings.
  • Prepares documentation for Board of Trustees meetings, including agendas, notices, minutes, and corporate resolutions.
  • Acts as custodian for trustees' documents and records.
  • Maintains updated contact information for board members and accrediting agencies.
  • Orders and manages office supplies and coordinates equipment maintenance.
  • Processes the President's expense reports for reimbursement.
  • Arranges for floral tributes or gifts for staff during significant life events.
  • Enhances office productivity through proficient use of relevant software applications.
  • Cultivates a welcoming office atmosphere for students, guests, faculty, and staff.
  • Upholds a commitment to excellence in service.
  • Attends mandatory Convocation every Wednesday.

QUALIFICATIONS
To successfully perform this role, the individual must meet the following qualifications:
  • Education and/or Experience:
  • Bachelor's degree with five to seven years of administrative experience supporting a senior executive; or high school diploma with ten or more years of administrative experience, including at least five years supporting a senior executive.
  • Experience with board of directors is preferred.
  • Strong oral communication, interpersonal, written, and organizational skills.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Excellent organizational, customer service, and teamwork abilities.
  • High-energy, detail-oriented, self-motivated, and capable of managing multiple priorities effectively.
  • Ability to work independently or collaboratively as needed.
  • Ability to exercise sound judgment and interact with all levels of management, staff, and students.
  • Ability to prioritize tasks and manage time effectively.
  • Language Skills: Proficient in reading and interpreting documents; capable of writing routine reports and correspondence; effective in public speaking.
