Overview:
This role involves essential clerical functions within the New Hampshire Court System, contingent upon ongoing funding from the Legislature.
ROLE DEFINITION:
The Court Operations Specialist performs a variety of clerical tasks that necessitate independent judgment and a solid understanding of routine policies, practices, and regulations. While assistance is available as needed, most tasks are executed with minimal oversight. This position requires specialized knowledge of court procedures, with significant consequences for inaccuracies in work.
WORKING HOURS:
The standard workday consists of 7.5 hours, typically from 7:30 a.m. to 5:00 p.m., Monday through Friday. Adjustments to this schedule may occur based on court requirements.
REPORTING STRUCTURE:
This position reports directly to the Clerk of the Court or their designated representative and does not include supervisory responsibilities.
KEY RESPONSIBILITIES:
- Open, date stamp, sort, and distribute incoming and outgoing mail.
- Review documents for completeness and accuracy, assigning general case categories as necessary.
- Assign docket numbers and maintain accurate records.
- Organize court records using various filing systems.
- Prepare legal documents, including notices and orders.
- Manage phone communications and produce copies of documents.
- Prepare summonses and similar legal processes, ensuring compliance with service dates.
- Operate recording equipment to document court proceedings.
- Handle court revenue and maintain financial records as required.
- Perform additional related duties as assigned.
QUALIFICATIONS:
High school graduation with two years of experience in court clerical work, or an equivalent combination of education and experience that provides the necessary knowledge, skills, and abilities.
KNOWLEDGE, SKILLS, AND ABILITIES:
- Familiarity with court procedures, legal documents, and relevant statutes.
- Understanding of the court's organizational structure and functions.
- Proficiency in effective office practices and procedures.
- Ability to follow oral and written instructions accurately.
- Competence in making informed decisions based on laws and regulations.
- Skill in maintaining records and preparing reports.
- Capability to establish effective working relationships.
- Proficiency in operating computers and standard office equipment.
ADDITIONAL REQUIREMENTS:
Successful completion of a criminal background check is mandatory.
