Role Responsibilities

What will you be doing?

Enhancing and facilitating communication between the warehouse and the Customer Service department.

Ensure that product deliveries align with the agreed quantities as outlined in the sales offer/order, at the designated location and time.

Key Duties Include:

Order Management

Inputting orders into SAP (various order types)

Sending order confirmations to customers (including delivery dates based on availability, with partial deliveries permitted)

Monitoring backorders and managing orders

Overseeing customer backorders in collaboration with relevant departments including Warehouse, Supply & Demand, Credit Control, Purchasing, and Forwarding

Maintaining planned shipping schedules (addressing delays, customer requests, etc.)

Handling customer order cancellations

Monitoring call-off orders

Addressing non-conformities and complaints

Issuing internal complaints and RMAs as necessary (using Salesforce/SAP)

Providing customers with receipt confirmations for complaints

Coordinating internally on solutions and corrective actions

Informing customers about corrective measures or escalating issues to account managers

Taking action on solutions and corrective measures

Following SAP and Salesforce credit-note procedures

Inquiry Management

Responding to customer inquiries regarding deliveries, delays, and issues

Following up on pending quotes

Coordinating with sales representatives

Customer Care

Addressing customer inquiries in a professional and service-oriented manner

Following up on actions noted in sales representatives' reports

Notifying customers about changes in delivery schedules and alternative products

Administrative Duties

Managing cases in Salesforce

Supporting accounts receivable collections

Keeping customer information and pricing agreements current.

Documenting and sharing leads, projects, and competitor insights.
