Key Responsibilities
What will you be responsible for?
Facilitating and enhancing communication between the warehouse and the Customer Service team.
Ensure that all transactions are followed up effectively to guarantee that the specified quantities of products are delivered to the customer as outlined in the sales offer/order, at the agreed location and time.
How will you achieve this?Order Management
Input orders into the system (various order types)
Send order confirmations to customers (confirm delivery dates based on availability, partial deliveries permitted, etc.)
Monitor backorders and manage orders
Track customer backorders in collaboration with Customer, Warehouse, Supply & Demand, Credit Control, Purchasing, and Forwarding teams.
Maintain planned shipping schedules (delays, customer requests, etc.)
Process customer order cancellations
Monitor call-off orders
Address non-conformities and complaints
Initiate internal complaints and Return Merchandise Authorizations (RMAs) as necessary.
Send confirmation of complaint receipt to customers
Coordinate internally on solutions and corrective actions
Inform customers about corrective measures or escalate to account managers as needed
Implement solutions and corrective actions
Follow credit-note procedures in the system
Inquiry Management
Address customer inquiries regarding deliveries, delays, and issues
Follow up on pending quotes
Coordinate with Inside/Outside sales representatives
Customer Care
Respond to customer inquiries in a professional and service-oriented manner
Follow up on actions requested in sales representatives' reports
Notify customers about changes in delivery schedules and alternative products
Administrative Duties
Manage cases in the system
Support accounts receivable collections
Keep customer information and pricing agreements current.
Document and share leads, projects, and competitor information.
