Investor Relations Support Specialist

The Investor Relations Support Specialist plays a crucial role in managing all inquiries related to investors, ensuring that requests are addressed efficiently and effectively. This position is pivotal in providing solutions to investor inquiries and escalating priority issues to the relevant team members. This role does not involve direct supervision of staff.

KEY RESPONSIBILITIES:

1. Assist the team in documenting new investments, ensuring that all pertinent information is accurately recorded.

2. Generate reports for the Investor Relations team to assess daily productivity and track overall performance metrics.

3. Collaborate with the Investor Relations team to organize client communication and meetings.

4. Facilitate the onboarding process for new investors, ensuring they are familiarized with the firm’s operations.

5. Manage the distribution of investment documentation and related materials.

6. Occasionally send physical copies of reports and notices to investors.

7. Update and track the status of potential investors, guiding them through the investment process using Hubspot.

8. Conduct onboarding activities for prospective and new investors, including document management and data entry in the investor portal.

9. Ensure the accuracy and completeness of all collected information.

10. Act as a liaison among various departments to facilitate the processing of new investments and account maintenance.

11. Utilize tools such as the investor portal and DocuSign to manage document workflows and maintain investor communication records.

12. Perform additional duties as assigned.

QUALIFICATIONS:

- Associate's degree or equivalent industry experience.

- 1 to 3 years of experience in administrative or client service roles.

- Familiarity with contact management software is advantageous.

- Strong attention to detail and organizational skills.

- Excellent verbal and written communication abilities with stakeholders at all levels.

- Proven capability to manage multiple tasks and meet deadlines in a fast-paced environment.

- Proficient in Gmail and Microsoft Office Suite.

- Willingness to learn new industry-specific software and systems.

- Ability to handle confidential information with care.

WORK ENVIRONMENT:

This role is based in a typical office or remote work setting, with minimal exposure to disruptive noise or environmental challenges.

PHYSICAL DEMANDS:

Ability to remain seated for extended periods.
