SUMMARY/PURPOSE OF THE ROLE:

The Logistics Administrator plays a crucial role in facilitating supply chain operations, encompassing the coordination of deliveries and the management of shipping documentation. Success in this position requires exceptional organizational skills and the ability to juggle multiple responsibilities effectively.

KEY RESPONSIBILITIES:

  • Collaborate with a diverse internal team across Clinical, Manufacturing, and Quality departments, as well as external partners, to ensure seamless coordination of inbound and outbound logistics activities.
  • Coordinate logistics activities with transportation carriers, Customs Brokers, and importers.
  • Document and monitor the timely and complete delivery of products to designated locations.
  • Investigate import/export regulations by country and transport lane.
  • Review and ensure the preparation and coordination of all necessary documentation between third-party shipping sites, Contract Manufacturing Organizations (CMOs), depots, and other locations.
  • Understand record-keeping requirements and ensure compliance across all transport lanes.
  • Monitor critical shipments throughout each leg of transport.
  • Report shipping incidents to Quality Assurance.
  • Assist in managing the Transportation Management System (TMS) for Clinical Supplies.
  • Review billing invoices for accuracy and payment processing.
  • Apply for necessary Import or Export permits as required.
  • Stay updated on global regulatory changes and updates related to international trade to ensure compliance.
  • Represent Supply Chain Logistics in relevant meetings.
  • Provide stakeholders with visibility of shipping status through comprehensive reports.

SUPERVISORY RESPONSIBILITIES:

No supervisory responsibilities.

EDUCATION/EXPERIENCE/KNOWLEDGE & SKILLS:

Education:

  • 1-2 years of experience in transportation logistics.
  • Bachelor's degree in a related field.

Experience:

  • Familiarity with Export & Import Documentation Requirements.
  • Understanding of Good Practice (GxP) standards related to transportation.
  • Certification in Dangerous Goods Shipping Hazmat is a plus.
  • Proficient in Microsoft Office, particularly in Spreadsheets and Outlook.

Knowledge/Skills:

  • Ability to prioritize and manage multiple tasks effectively under time constraints.
  • Strong communication abilities.

WORKING CONDITIONS:

Primarily working indoors, performing clerical tasks. Flexibility to work outside of regular hours and on weekends may be required to oversee critical shipments.
