Position Overview:

As a Bilingual Human Resources Support Specialist, you will be instrumental in facilitating HR operations across various locations and business units. Reporting directly to the HR Manager, this role encompasses a variety of administrative responsibilities, aiding HR Business Partners, and ensuring seamless HR functions in a dynamic environment.

Key Responsibilities:

  1. Administrative Duties:
  • Organize and maintain electronic HR files, ensuring accuracy and adherence to company policies.
  • Perform routine administrative tasks such as data entry and filing to maintain organized records.
Email Management and Employee Interaction:
  • Oversee the General HR inbox, responding to inquiries and directing tasks to the appropriate HR Business Partner.
  • Ensure effective communication between HR and employees, providing necessary support and guidance.
Unemployment Claims Assistance:
  • Support the preparation and submission of unemployment insurance claims, ensuring compliance with regulations.
New Employee Orientation:
  • Assist in coordinating and facilitating new hire orientation sessions for a smooth onboarding process.
Invoice Management:
  • Process and oversee invoices related to HR services, collaborating with vendors and finance teams for timely payments.
Collaboration with HR Business Partners:
  • Work alongside HR Business Partners to coordinate HR initiatives and projects across various locations.
  • Assist in scheduling meetings, preparing necessary materials, and maintaining project timelines.
Proactive Risk Management:
  • Identify HR needs and potential risks, suggesting improvements where necessary.
  • Communicate effectively with HR leadership regarding issues and provide recommendations for resolution.
  • Ensure compliance with employment/labor law postings across all facilities.
Qualifications:
  • High school diploma or equivalent; an Associate's or Bachelor's degree in Human Resources or a related field is preferred.
  • Fluency in both English and Spanish is essential.
  • 3-5 years of experience in administrative support, ideally within HR or the construction sector.
  • Familiarity with HR-related tasks such as unemployment claims and new hire orientation.
  • Exceptional organizational skills and the ability to multitask in a fast-paced environment.
  • Strong written and verbal communication skills, emphasizing professionalism and accuracy.
  • Proficiency in Microsoft Office Suite and HRIS systems.
