Accent Title is a leading Title Company and Law firm that requires an organized and detail-oriented individual to manage our front desk on a daily basis. As a key member of our team, you will be responsible for providing administrative support across the organization.
Job Description:
We are seeking a highly skilled and experienced Receptionist/Front Office Representative to join our team. The successful candidate will welcome guests positively, offer excellent customer service, and ensure all administrative tasks are executed to the highest quality standards. This is an exciting opportunity for someone who enjoys multitasking, prioritizing tasks, and streamlining office operations. You will work closely with our management team to coordinate front-desk activities, including distributing correspondence and redirecting phone calls. Your exceptional communication skills will enable you to deal effectively with visitors, colleagues, and external partners. Additionally, you will maintain office security by following safety procedures and controlling access via the reception desk. You will also update calendars and schedule meetings as required. As part of this role, you will perform other clerical duties such as filing, photocopying, transcribing, and faxing documents. Your flexible approach will allow you to adapt to changing priorities and take on additional responsibilities when needed.
Responsibilities:
- Welcome guests warmly and direct them to the appropriate person or department.
- Answer, screen, and forward incoming phone calls promptly and professionally.
- Ensure the reception area is well-maintained and equipped with necessary supplies (e.g., stationery, pens, forms, brochures).
- Provide accurate information to visitors and stakeholders in person, over the phone, or via email.
- Receive, sort, and distribute mail and deliveries efficiently.
- Maintain office security by adhering to established safety protocols and controlling access through the reception desk.
- Update calendars and arrange meetings as instructed.
- Complete various clerical tasks like filing, copying, transcribing, and sending faxes.
Requirements:
- Proven experience as a Receptionist, Front Office Representative, or similar role.
- Proficiency in Microsoft Office Suite applications.
- Familiarity with office equipment such as printers and fax machines.
- Possess a professional attitude and appearance at all times.
- Demonstrate strong written and verbal communication skills.
- Show resourcefulness and proactivity when dealing with challenges.
- Excellent organizational skills and ability to prioritize tasks effectively.
- Multitasking and time-management skills are essential for success in this role.
- Customer-focused attitude is vital.
- A high school degree; additional certification in Office Management is a plus.
Salary: $45,000 - $55,000 per year based on experience.
