Job Title: Order Entry Specialist

The Order Entry Specialist will be responsible for accurately entering and managing millwork packages and installation supplies for new construction in single-family homes. This role requires strong organizational and communication skills, as well as the ability to work in a fast-paced environment.

Key Responsibilities:
  • Enter orders into the Bistrack system, following the ABS Naming Convention.
  • Scan and save POs, along with colors and plans, to ensure accurate data entry.
  • Match submittals with PO amounts to ensure accuracy.
  • Copy templates to call off orders and call off orders into sales orders in Bistrack.
  • Verify POs in the Customer Portal to ensure no changes have occurred since the start of the order.
  • Download changes if needed and request EPOs or new POs.
  • Verify ABS Scheduled dates match Builder dates.
  • Review orders to ensure totals PO amount and material costs are correct.
  • Contact customers for updated POs if discrepancies are found.
  • Notify Field Managers of delays and communicate new information.
  • Update new dates and notes in Bistrack as needed.
  • Create and enter Fill-In tickets in Bistrack according to Field Manager requests.
  • Research reasons for ($0) Fill-ins and attach reason codes to Fill-In tickets.
  • Receive VPOs and release tickets.
  • Communicate Order #s to Schedulers for Labor arrangement and PO issuance.
  • Enter Return Pick Tickets and schedule accordingly.
General Responsibilities:
  • Work safely and report any unsafe conditions.
  • Verify customer information is correct and/or re-enter data.
  • Pricing each item within the order.
  • Review for accuracy and make changes when advised or necessary.
  • Verify correct invoicing margins.
  • Train new employees on the order entry process.
  • Support the locations' administrative staff in general office and clerical tasks.
  • Perform other duties and responsibilities as required or requested.
Qualifications:
  • 1-2 years' experience in data entering.
  • Some knowledge of millwork construction supplies.
  • Working knowledge of floorplans, elevations, and blueprints.
  • Ability to plan, coordinate, prioritize, and meet tight deadlines.
  • Excellent written and oral communication skills.
  • High degree of computer literacy (Microsoft Office).
  • Team player.
  • Detail-oriented.
  • Flexibility to multi-task in a demanding, fast-paced technical environment.
Working Conditions:
  • Job requires some extended hours, as needed, to accomplish job requirements.
  • Job requires working in a manufacturing/warehouse environment with high temperatures and humidity.
  • Job requires working in and around machinery/powered equipment and associated safety risks.
  • Job requires interaction with internal and external customers to resolve issues.
  • Job requires interaction with all levels within the location and all their direct reports (as needed).
Physical Requirements:
  • Job requires lifting and sitting for long periods of time within an office environment.
