Key Responsibilities:

  • Manage and coordinate daily office operations, schedules, and tasks.
  • Provide exceptional customer service, respond to phone calls, emails, and correspondence.
  • Coordinate meetings, appointments, and travel arrangements, ensuring seamless logistics.
  • Prepare, edit, and maintain documents, reports, and presentations, utilizing strong organizational skills.
  • Maintain accurate and up-to-date filing systems, both digital and physical.
  • Assist in the preparation of regularly scheduled reports, ensuring timely and accurate delivery.
  • Liaise with clients, suppliers, and staff members, fostering strong relationships and communication.
  • Provide general administrative support to the team, adapting to changing priorities and needs.

Qualifications:

  • Proven experience as an Administrative Assistant or in a similar role, with a strong track record of success.
  • Bilingual in Spanish, with excellent written and verbal communication skills.
  • Proficiency in MS Office (Word, Excel, PowerPoint, Outlook), with the ability to learn new software quickly.
  • Strong organizational skills, with the ability to multitask and prioritize tasks effectively.
  • Attention to detail and problem-solving skills, with a focus on delivering high-quality results.
  • High School Diploma or equivalent, with a preference for an Associate's degree or higher.
  • Ability to work independently and as part of a team, with a strong commitment to collaboration and communication.

Preferred Skills:

  • Experience with office equipment, such as printers and fax machines.
  • Familiarity with basic bookkeeping or accounting software.
  • Experience in [industry-specific knowledge if relevant].
