Position Overview

Epsilon is on the lookout for an Experienced Executive Administrative Coordinator to enhance our Corporate Administrative Services team.

In this pivotal role, you will provide comprehensive organizational and administrative assistance to high-level executives, including the Vice President and Senior Vice President.

You will report directly to the Manager of Corporate Administrative Services and collaborate closely with the broader administrative and HR teams, along with various departments within Epsilon, such as functional HR and Finance teams (Payroll, Vendors, IT, etc.).

Key Responsibilities

As an Executive Administrative Coordinator, your duties will encompass:
  • Coordinating all meeting logistics and responding to inquiries.
  • Arranging travel plans and managing executive schedules/calendars.
  • Handling correspondence and providing essential administrative support to senior executives.
  • Preparing meeting agendas and documenting minutes for key discussions.
  • Overseeing travel arrangements and preparing expense reports for submission on behalf of executives.
  • Managing relationships with external vendors and budgets.
  • Participating in the EPIC community at Epsilon, contributing to company events throughout the year.
Qualifications

To excel in this role, you should possess:
  • A minimum of 3 years of experience in an administrative support capacity.
  • A strong client-facing demeanor and a collaborative team spirit.
  • Exceptional prioritization and organizational abilities.
  • Outstanding verbal and written communication skills.
  • The capability to generate reports, identify issues, and draw sound conclusions.
  • A readiness to learn new systems and processes.
  • Experience in travel coordination and expense management.
