Position Overview:

At a pivotal moment for the Boys & Girls Clubs of Monmouth County, the Fundraising and Event Coordinator will play a vital role within a dynamic team dedicated to resource generation for one of New Jersey's premier non-profit youth organizations.

Collaborating closely with the CEO, Directors of Communications and Grants, and fundraising consultants, the Coordinator will be essential in executing an ambitious strategy to secure funding that supports the mission of empowering all young individuals, particularly those in need, to achieve their fullest potential as productive, caring, and responsible citizens.

The Fundraising and Event Coordinator is primarily accountable for: 1) overseeing fundraising initiatives and campaigns; 2) organizing and executing special events; and 3) maintaining development operations and systems.

Key Responsibilities:

1) Fundraising:


In partnership with the CEO and other team members, assist in executing the annual resource development strategy of the organization, which includes annual campaigns, major gifts, and special fundraising initiatives.

Conduct research on potential fundraising prospects, including current and prospective donors, foundations, and corporations, and prepare comprehensive reports to aid the CEO in donor cultivation and solicitation.

Support the implementation of donor cultivation, solicitation, stewardship, and retention strategies, utilizing moves management techniques.

Assist the CEO and Communications Director in producing regular communications, such as the biannual print newsletter, with a focus on fundraising efforts.

Collaborate with the Assistant to the Chief Executive in supporting the CEO in all fundraising aspects, driving strategy, execution, and follow-up.


2) Events:


Lead the planning and execution of special fundraising events, including the organization’s largest annual event, as well as golf outings, awards ceremonies, donor appreciation gatherings, and more.

Oversee event execution, including developing timelines, ensuring staff adherence to schedules, serving as the primary contact for volunteer event committees, managing event volunteers, monitoring task completion, and acquiring necessary permits and contracts.

Work with team members to plan and implement corporate and community volunteer projects and outreach events, including securing sponsorships.
Act as the initial point of contact for volunteer groups, fostering and nurturing those relationships.
Represent the organization at community fairs, special events, and third-party fundraisers as needed.

3) Operations and Reporting:
Serve as the liaison for the Resource Development Committee and support its initiatives accordingly. Track progress on the implementation and execution of the resource development strategy and prepare materials for reports and meetings.

In collaboration with the Assistant to the Chief Executive and Communications Director, facilitate the CEO's moves management plan, strategizing major gift solicitations and outlining next steps with high-potential donors, documenting all information in the donor management system.

Manage the CEO's weekly development contacts calendar, coordinating with the Assistant to the Chief Executive and Communications Director.
Oversee the donor database, ensuring accurate entry and maintenance of donor and gift data.

In accordance with the organization's donor stewardship matrix, generate written acknowledgments and thank-you letters, required tax receipts, and other related correspondence, as well as filing necessary support documentation.

Produce monthly donation reports (or as needed) and analyze giving data.
Maintain a list of active donors for all printed and digital donor listings.
Keep a record of vendor donations for future appeals at appropriate times.
Maintain files, archiving event records for future reference.

Required Skills and Qualifications:
Demonstrated success in achieving revenue targets within a non-profit environment, with experience in fundraising software and technology.

A fundraising professional capable of employing moves management strategies and adhering to ethical best practices in donor cultivation, solicitation, and stewardship.

Exhibit a proactive, flexible, and innovative approach.
Exceptional communication skills with a proven ability to write effectively and engage diverse audiences.
Able to collaborate effectively with Board members and other volunteer leaders.
Skilled in identifying and leveraging new opportunities.
High energy, positive attitude, flexibility, teamwork, and attention to detail; strong initiative.
Passion and commitment to youth development is a plus.

Educational and Technical Experience Required:
Bachelor's degree from an accredited institution or equivalent experience.
Experience in fundraising and special event planning and execution (3-5 years).
Proficiency in Microsoft Office products, familiarity with donor management systems, and a strong ability to learn new technologies.
Ability to maintain confidentiality.
Excellent attention to detail.
Ability to complete projects efficiently and on time.
Strong work ethic.
Effective self-motivation as well as collaboration as a team member.
Strong time-management skills with the flexibility to transition between projects.
Knowledge of legal and accounting principles related to fundraising.
Willingness to provide phone and/or administrative support as needed.

Physical Requirements and Work Environment:
U.S.

work authorization, ability to perform physical tasks associated with event planning, ability to focus in a busy office environment, and availability to work some evenings and weekends.
