Position Summary:
This role is pivotal in overseeing the daily functions of various healthcare clinics across multiple specialties. The individual in this position will act as the primary contact for site-related issues, including maintenance, staffing, performance management, communication among staff, supply needs, patient service processes, scheduling, and analysis of data metrics. Reporting directly to the Director of Clinic Operations, the Clinic Operations Supervisor will facilitate communication between healthcare providers and administrative teams. Additionally, this role may require stepping in for other supervisors during their absence and addressing provider and staff inquiries outside of regular business hours.

Key Responsibilities:
  • Manage all clinic personnel to ensure staffing requirements are fulfilled and workflows are adhered to for optimal patient experiences.
  • Promptly address and resolve patient concerns and issues.
  • Serve as the primary contact for operational inquiries from providers and staff.
  • Maintain accurate time and attendance records for all direct reports, minimizing overtime.
  • Ensure adherence to all established policies and procedures.
  • Lead the implementation of clinic workflows for staff.
  • Conduct regular team meetings and monthly updates regarding organizational changes and procedural revisions.
  • Perform evaluations and competency assessments as necessary, collaborating with Human Resources to address disciplinary matters consistently.
  • Participate in the recruitment process for clinical staff and ensure comprehensive orientation for new hires.
  • Collaborate with HR to fulfill orientation and annual training requirements.
  • Work with the Practice Development team to refine provider scheduling templates and internal communications.
  • Maintain and support the provider coverage schedule.
  • Oversee inventory management for clinical supplies and equipment, coordinating with purchasing for orders and deliveries.
  • Engage in onboarding processes for new providers, focusing on their needs and clinic setup.
  • Analyze operational data and collaborate with leadership as necessary.
  • Identify and address issues during the evaluation period for practices in transition.
  • Work with the Population Health team to enhance value-based care and maintain recognition as a Patient-Centered Medical Home.
  • Coordinate with the billing department on coding and electronic health record matters.
  • Ensure technology systems are functioning effectively for all direct reports.
  • Attend required leadership training and development sessions.
  • Address facility maintenance and safety concerns, collaborating with vendors for necessary updates.
  • Utilize company resources responsibly for procurement of supplies and staff meals.
Qualifications:
  • A Bachelor's or Master's degree in Healthcare Administration, Business, or a related field from an accredited institution, along with a minimum of three years of management experience in a healthcare setting.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Skills and Abilities:
  • Strong leadership and organizational capabilities.
  • Exceptional verbal and written communication skills.
  • Comprehensive understanding of medical practice operations.
  • Able to multitask in a dynamic work environment.
  • Ability to effectively engage with all levels of staff, including senior leadership and healthcare providers.
Physical Requirements:
  • Ability to stand or walk for extended periods; capable of lifting over 25 lbs and pushing/pulling up to 150 lbs.
  • Frequent computer use and administrative tasks.
  • Work in a clinical environment with potential exposure to communicable diseases and other health-related conditions.
  • Possible exposure to blood-borne pathogens or contaminated materials.
