Position Overview

ARServices is on the lookout for an Administrative Coordinator to support our operations in the Arlington, VA area.

The ideal candidate will provide essential support to the OPNAV N1 Personnel, Manpower, and Training (PMT) initiative. The successful applicant will exhibit exceptional communication abilities and possess advanced proficiency in PowerPoint, Word, Excel, and Outlook. A keen eye for detail and mastery in time management are crucial for this role. This position is subject to final approval from the Navy client.

Key Responsibilities

The selected candidate will undertake various duties, including but not limited to:

  • Drafting written materials for senior leadership to address actions requiring their personal attention.
  • Monitoring action items to ensure timely completion and alignment with leadership expectations.
  • Adhering to organizational administrative policies and procedures.
  • Managing calendars, scheduling commitments, and reminding senior leadership of obligations.
  • Preparing, processing, and maintaining complex documentation and forms.
  • Coordinating travel arrangements and preparing travel documentation, including expense reports.
  • Safeguarding sensitive business information and managing time-sensitive tasks.
  • Leading the review of administrative and technical documents for accuracy and clarity.
  • Attending meetings and preparing notes or minutes with a focus on detail and punctuality.
  • Ensuring correspondence is completed accurately and promptly, adhering to applicable policies.
  • Reviewing travel authorizations and vouchers for program office personnel.
  • Updating office organization charts and contact lists.
  • Performing other administrative tasks as assigned.

Requirements

Security Clearance: An active/current Secret clearance is mandatory.

Qualifications:

  • High School diploma with 10 years of relevant experience or a Bachelor's degree with 8+ years of experience.
  • Exceptional written and verbal communication skills to foster strong relationships with a diverse team.
  • Advanced proficiency in MS Office, including Outlook, PowerPoint, Word, and Excel.
  • Familiarity with official DoD travel policies and the Defense Travel System.
  • Ability to manage multiple tasks in a fast-paced environment with minimal supervision.
  • Discretion in handling sensitive work requirements.
  • Strong attention to detail and the ability to meet tight deadlines.

Preferred Qualifications:

  • Experience providing administrative support to senior or flag officers.
  • Experience supporting a Navy N1 program office.
