Patient Access Coordinator

We are seeking a highly skilled Patient Access Specialist to join our team at Omaha Children's Hospital. As a Patient Access Specialist, you will play a critical role in ensuring the smooth and efficient flow of patients through our healthcare system.
Key Responsibilities- Register new patients with complete and accurate demographics, verifying information and entering it into our computer system.
- Check patients in and out, verifying demographic information and ensuring accurate documentation.
- Provide and collect required patient paperwork, accurately documenting all necessary information.
- Schedule patients accurately using our automated appointment system, following office protocols.
- Maintain daily physician appointment templates, working closely with the office manager and lead receptionist.
- Contact patients and families to confirm appointments and verify demographic and insurance information.
- Verify patient insurance eligibility and benefits using our established automated process.
- Initiate the Children's Connect sign-up process for new or inactive patients at the beginning of each visit.
- Respond to Children's Connect appointment messaging within defined timeframes.
- Pull patient charts as needed, releasing information according to organizational protocols.
- Scan documents into the electronic medical record, appending them to the appropriate section of the record.
- Collect co-pays and balances on past due accounts, following organizational protocol.
- Post payments collected directly into the computer, completing end-of-day balancing and preparing bank deposits.
- Answer patient and family questions about owed balances, referring to Primary Care Physician Billing as necessary.
- Complete work queues daily to compile missing demographic and insurance information for billing purposes.
- Support patient care quality initiatives as directed.
- Complete miscellaneous reports and letters as needed.
- Open and distribute mail in a timely manner.
- Assemble patient packets as directed.
- Pull and process fax transmittals as directed, scanning patient reports as necessary.
- Prepare and send hospital charges as directed.
- Perform opening and closing duties as assigned by the office manager or designee.
- Assist in the orientation and training of new employees as requested.
- Facilitate handling of pharmaceutical representatives and vendors according to office policy.
- Monitor and maintain a clean, organized, and clutter-free lobby and patient restrooms.
- High School Diploma or GED equivalent preferred.
- Minimum one year customer service experience preferred.
- One year experience working in a healthcare or insurance setting preferred.
- Excellent communication, listening, customer service, and organizational skills.
- Basic computer skills and knowledge of Microsoft operating environment.
- Ability to read, write, and perform arithmetic calculations.
- Ability to operate basic office equipment, including personal computers, automated telephone systems, scanning technology, e-signature, 10-key adding machine, copier, shredder, and facsimile.
- Knowledge of billing and insurance programs.
- Knowledge of patient appointment scheduling systems in a medical office.
- BCLS - Basic Life Support through the American Heart Association is preferred.
- Based on position, medical interpretation certificate may be required.
- Bilingual (English-Spanish) required for some personnel.
- Travel to other Children's Physician clinics, based on staffing needs, is required.
- Rehab: Requires coverage 24 hours a day/7 days a week. Must be able to work during assigned shift(s) (day, evening, night, weekend, and/or holidays). Casual positions will be required to be on call.
