POSITION SUMMARY: The Assistant Project Manager plays a crucial role in facilitating the successful execution of construction projects by providing essential support to the Project Manager and the project team. This position is integral in ensuring that projects are delivered on schedule, within financial constraints, and utilizing allocated resources effectively. The Assistant Project Manager will also contribute to maintaining a safe working environment for all personnel involved.

Key Responsibilities:

  • Assist the Project Manager in managing the overall project workflow from initiation to completion.
  • Collaborate with the Project Manager and safety personnel to promote and maintain a safe work environment.
  • Review and comprehend contract documents and project scopes during the transition from estimating to project execution.
  • Support project documentation management, including insurance, bonding, permits, submittals, requests for information (RFIs), change orders, and correspondence.
  • Ensure all project documents are systematically organized and stored in the designated document control software.
  • Confirm that the latest drawings are distributed to the field teams.
  • Assist in the preparation of billing formats and schedules of values as dictated by contract specifications.
  • Contribute to the project schedule, indicating completion dates and subcontractor requirements, integrating this information into the overall project timeline.
  • Request purchase orders for major equipment and subcontractors, specifying shipping needs and expected delivery timelines.
  • Facilitate material takeoffs in collaboration with trade supervisors.
  • Participate in all relevant meetings with internal and external stakeholders to discuss scheduling, delivery, project progress, and solutions to challenges.
  • Support project accounting efforts, including monthly billing and collections, and follow up on outstanding invoices.
  • Work with supervisors to ensure project safety protocols are adhered to, including conducting toolbox talks and safety walkthroughs.
  • Gather information for scope changes and collaborate with the project team and estimating department for pricing adjustments, ensuring no work commences without proper authorization.
  • Assist field personnel with project closeout procedures.
  • Obtain as-built documentation from field teams and request CAD drawings from the VDC team.
  • Escalate critical issues to the Project Manager with suggested resolutions.
  • Meet project site onboarding requirements as per contractual obligations.
  • Adhere to all company policies, procedures, and safety programs.

QUALIFICATIONS:

To excel in this role, candidates must demonstrate the ability to fulfill essential duties effectively. The qualifications listed below are indicative of the knowledge, skills, and abilities required:

PREFERRED EDUCATION and EXPERIENCE:

  • 3 to 5 years of relevant experience in the construction sector.
  • Bachelor's degree in Construction Management, Mechanical Engineering, or a related field is required.
  • High School diploma or GED is mandatory.
  • Familiarity with construction industry practices and documentation is essential.
  • Understanding of federal, state, and local regulations and guidelines is preferred.

COMPUTER SKILLS:

  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) is required.
  • Experience with AutoCAD and other mechanical or construction-related software is beneficial.
  • Familiarity with project management and document control software is advantageous.
  • Knowledge of construction financial software packages is a plus.

PHYSICAL DEMANDS: The physical requirements of this position include regular sitting, seeing, talking, and hearing. Employees must be able to use hands for handling tools and controls, walk, reach, climb, and occasionally lift up to twenty-five pounds. Specific vision abilities required include close vision and depth perception.
