Role Summary

The Warehouse and Inventory Coordinator is responsible for overseeing operations within the Vytelle warehouse and distribution center. This includes managing purchase tracking, receipt management, and shipment staging, while ensuring product integrity and organization. The role involves quality control collaboration across departments to maintain optimal inventory levels and accurate data entry in the MRP system, crucial for the stability of Vytelle's ADVANCE IVF operations.

Key Responsibilities
  • Purchase Orders: Efficiently receive and allocate items to inventory within the Business Central system.
  • Transfer Orders: Accurately issue transfer orders with correct item descriptions and variables.
  • Sales Orders: Pack and ship sales orders, ensuring detail accuracy in collaboration with Purchasing.
  • Finance Collaboration: Work closely with the Finance department to enhance the procure-to-pay structure through effective communication and SOP development.
  • Inventory Management: Conduct monthly inventory counts and maintain accuracy regarding incoming and outgoing inventory.
  • Media Coordination: Collaborate with the Media team to ensure proper packaging and documentation of shipments.
  • Lot Tracking: Attach appropriate lot numbers to purchase and sales orders, utilizing Business Central for traceability.
  • Lot Differentiation: Maintain color coding for each lot to prevent mixing.
  • Expiration Management: Monitor lot expirations and implement FIFO practices in the warehouse.
  • Warehouse Insight: Master warehouse insight tools for efficient inventory scanning.
  • Manual Shipments: Physically lift and pack items for shipment, ensuring minimal damage during transit.
  • Partner Lab Coordination: Maintain relationships with partner labs to adhere to their specific shipping and packing SOPs.
  • Materials Knowledge: Develop a thorough understanding of warehouse items and their applications.
  • Cross-Departmental Collaboration: Work effectively with various departments under pressure, demonstrating patience and attention to detail.
Skills and Qualifications
  • Bachelor's degree in Business, Administration, or a related field.
  • Proficient in Microsoft Office Suite, particularly Word and Excel.
  • Two years of experience in warehouse or shipping and receiving preferred.
  • Strong analytical skills and the ability to make sound inventory-related judgments.
  • Physical capability to lift items up to 50 lbs.
