Position Overview: As a Senior Manager within the Vendor Management and Outsourcing team, you will play a crucial role in overseeing the outsourcing requirements for ongoing and upcoming clinical studies. This includes responsibilities such as vendor identification, request for proposals (RFPs), vendor selection, contract negotiations, budget management, and facilitating the vendor governance process.

Key Responsibilities:

  • Manage clinical outsourcing activities, including collaboration with Contract Research Organizations (CROs) and other essential clinical service providers.
  • Independently oversee all outsourcing processes, encompassing supplier assessments, RFP/RFQ/RFI, selection, contract budgeting, payment schedules, and scope negotiations through to contract execution and lifecycle management.
  • Take charge of all global clinical development agreements, including work orders, amendments, confidentiality agreements, and subcontractor agreements.
  • Negotiate new and modified work specifications, budgets, and payment terms, ensuring adherence to contract stipulations by service providers.
  • Guide project teams through the sourcing process, providing insights and recommendations based on industry best practices.
  • Collaborate with study team members to manage supplier bidding and proposal development, facilitating supplier bid defense meetings and follow-ups.
  • Lead communication regarding contracts with suppliers, addressing inquiries from internal teams about contract statuses, and escalating issues as necessary.
  • Demonstrate a comprehensive understanding of procurement principles and supplier selection criteria.
  • Identify and manage contract risks, ensuring appropriate mitigation strategies are implemented and communicated to stakeholders.
  • Provide stakeholders and management with updates on contract statuses and financial issues related to contracts.
  • Ensure compliance of agreements with company policies regarding risk assessment and liability.
  • Resolve complex contract-related issues with support from relevant departments.
  • Establish and nurture supplier relationships in collaboration with Clinical Development and other internal departments.
  • Partner with project leads to manage service provider relationships and oversee performance, ensuring compliance with contracted services.
  • Develop tools to analyze contracted performance against actual outcomes, assessing changes in service provider scope.
  • Prepare monthly management reports detailing service provider financial performance, including variance analysis.
  • Measure and report quarterly service provider performance using established metrics and KPIs to ensure compliance with expectations.
  • Assist in the development and implementation of processes and tools related to outsourcing activities.
  • Manage the purchase order process in support of Clinical Development stakeholders.
  • Support general and ad-hoc projects as needed.
  • May oversee administrative tasks related to new vendor onboarding.
  • Provide mentorship and guidance to colleagues within the department.

Qualifications:

  • Bachelor's degree or equivalent experience, with a minimum of 8 years in a related field.
  • Experience in pharmaceutical, biotech, academia, or CROs.
  • Solid understanding of the drug development process, particularly clinical trials.
  • Proficient in RFP development, proposal evaluation, and contract management.
  • Self-starter with the ability to work independently and collaboratively.
  • Strong organizational skills and attention to detail, capable of managing multiple tasks effectively.
  • Excellent analytical skills to synthesize information and support decision-making.
  • Proficient in MS Office applications, particularly Excel, Word, PowerPoint, and Outlook.
  • Ability to maintain professionalism and positive interactions with internal and external stakeholders.
  • Willingness to travel as required.
