Job Summary

We are seeking a highly organized and detail-oriented Research Administrator I to join our team at InsideHigherEd. The successful candidate will be responsible for coordinating proposal submissions, managing agreements, and providing post-award support to our research faculty.

Key Responsibilities
  • Proposal Preparation and Submission
    • Coordinate with principal investigators and research teams to prepare and submit timely and compliant proposals to various funding agencies and sponsors.
    • Review and advise on proposal documents, including budgets and budget justifications, to ensure compliance with funding agency guidelines.
    • Manage proposal records and route for approval in accordance with institutional policies.
    • Ensure that all proposal components are reviewed and approved prior to submission.
  • Agreement Support
    • Coordinate with research administration teams to upload and submit documents related to agreements and contracts.
    • Track agreements in the UFIRST Agreements module to ensure consistent communication and progress on agreement negotiations.
  • Post-Award Management
    • Coordinate with senior research administrators to manage sponsored projects, including processing new awards, sending payroll distribution requests, and providing financial management and projections.
    • Review financial transactions for appropriateness, allowability, and compliance with grant terms and conditions, Uniform Guidance, and University policies.
    • Support and approve purchasing activity as needed.
  • Reporting and Training Support
    • Maintain up-to-date training records and participate in training as a trainer and trainee with other administrators in the college and across campus.
    • Assist with data collection and reporting as needed.
Requirements
  • Bachelor's degree or equivalent combination of education and experience.
  • Ability to work independently with minimal supervision and use good judgment to set priorities.
  • Proficiency in office applications, including PeopleSoft, Adobe applications, email clients, and Microsoft suite of applications.
  • Ability to communicate effectively with faculty, staff, and sponsors.
  • Knowledge of and accountability for current rules, regulations, policies, and procedures relating to funding sponsors, the State of Florida, and the University of Florida.
