Key Responsibilities- Manage Daily Office Operations
- Create and maintain accurate and up-to-date records for client projects.
- Work with operations managers to assist with time card management and job cost coding.
- Support marketing efforts, including social media management and client outreach.
- Assist with human resources functions, including onboarding new employees and maintaining personnel records.
- Handle customer inquiries and resolve issues in a timely manner.
- Perform other duties as assigned by management.
- Maintain and organize office files, both physical and electronic.
- Assist in scheduling appointments and coordinating meetings for management and staff.
- Support the accounting department with invoicing, billing, and payroll processing.
- Maintain inventory of office supplies and place orders as necessary.
- Prepare and distribute correspondence, memos, and reports as needed.
- High school diploma or equivalent; associate's or bachelor's degree in business administration or related field preferred.
- Proven experience as an office administrator, administrative assistant, or similar role.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook) and office management software.
- Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Excellent communication skills, both written and verbal.
- Customer service-oriented with a professional demeanor.
- Ability to work independently as well as part of a team.
