Position Overview:

The objective of this role is to assist a diverse real estate project team in the execution of healthcare facilities (oncology/nuclear medicine) from the planning phase through to completion and ongoing operations. The primary focus areas for project delivery include task oversight, documentation management, information handling, document routing, tracking, budgeting, forecasting, and various other responsibilities that support comprehensive project management and departmental operations.

Key Responsibilities:

  • Assist project managers in the development of project documentation for all facets of project execution.
  • Support the Delivery Portfolio Director and project managers in managing project data, retrieving and organizing information, and preparing it for task requirements and future reference.
  • Engage regularly with project stakeholders and team members.
  • Help project managers in formulating and executing action plans to address discrepancies, while proactively responding to the needs and concerns of clients and the project team.
  • Provide assistance in the preparation of sourcing and procurement documents, ensuring timely execution of project objectives.
  • Monitor and report essential project information to enable project managers to assess project health, risks, budgets, and timelines.
  • Oversee the generation of accurate, timely, and comprehensive reports.
  • Manage inquiries from clients, coordinating with team members to deliver prompt and precise responses.
  • Act as the primary liaison between clients and the Lease Administration team to address lease-related inquiries.
  • Perform additional duties as assigned.

Minimum Qualifications:

  • 3+ years of experience in administrative management and support, preferably within the capital delivery or real estate sector.

Essential Skills:

  • Strong organizational abilities to facilitate project management planning. Experience in real estate and construction/renovation is advantageous.
  • Proven capability to comprehend complex business challenges and devise programs to support solutions and compliance.
  • Proficiency in Microsoft Office Suite (Excel, Word, Project, PowerPoint, Visio, and Smartsheet).
  • Demonstrated ability to impose organization and structure in ambiguous situations.

Additional Skills:

  • Experience with process improvement methodologies and effective change management.
  • A proactive approach with the ability to thrive in a dynamic work environment.
  • Strong communication skills, both oral and written, along with facilitation capabilities.
  • Ability to manage multiple projects and tasks simultaneously.

Education and Training:

  • A Bachelor's degree from an accredited institution is required.
  • Certifications such as Project Management Professional (PMP), Certified Construction Manager (CCM), or Certified Cost Controls (CCC) are beneficial.

Physical Requirements:

  • General office demands.
  • Willingness to travel up to 20% domestically.
